We're now building AI directly into our tools, including our AI Estimating Module, to help estimators, quantity surveyors, builders, and subcontractors work faster and win more work.
About the role
Buildsoft is looking for an experienced Office & Operations Manager to join our team on a 12-month maternity leave contract, reporting directly to the Managing Director.
This is a varied, hands-on role supporting the day-to-day operations of the business, with a strong focus on managing our Accounts team, coordinating office operations, supporting operational improvements and acting as an escalation point when issues arise.
In this role, you'll work closely with our internal teams to help keep priorities moving, resolve operational issues and improve the way we work across the business.
To be successful, you're organised, approachable, proactive and comfortable taking ownership. You're someone who can balance day-to-day team management with broader operational priorities, identify recurring issues and help turn them into clearer and more consistent processes.
This is a hybrid, full-time role based in our Sydney office.
Use operational reporting and recurring issues to identify risks, improve processes and introduce stronger controls where needed
Identify opportunities to simplify processes, reduce manual work and improve how we operate, including through automation and emerging AI tools where appropriate
Help ensure new processes, decisions and ways of working are documented and consistently followed
Manage the day-to-day requirements of the Buildsoft office, including suppliers, facilities and general office coordination
Provide light-touch people administration, including maintaining local employee documentation, supporting onboarding and offboarding activities, and coordinating with our Group HR team where required
Work closely with cross-functional teams to keep operational actions moving and resolve issues where ownership crosses teams
Support the leadership team with operational priorities, reporting and follow-up as required
What we're looking for
Experience in operations, office management, accounts leadership or a similar role
Experience managing or supporting a team
Strong organisation and prioritisation skills, with the ability to manage competing priorities
A practical and proactive approach to problem solving and continuous improvement
Ability to build effective working relationships and coordinate across teams
The ability to identify recurring issues and turn them into clearer processes and controls
Strong written and verbal communication skills
The ability to make decisions, manage escalations and follow actions through to completion
Strong attention to detail and a willingness to get involved in the day-to-day when required
Experience with systems such as NetSuite, Salesforce, Zendesk or Confluence would be beneficial, but is not a requirement
