Administration and Intake Officer

The Role

The Administration and Intake Officer is based at Centacare's Noarlunga site and plays an integral role in supporting the delivery of Counselling and Mediation Programs within the Children's Services Unit (CSU).

Reporting to the Site Manager, this role provides high-quality administrative and office support while serving as the first point of contact for clients accessing services. Combining strong administration capability with a client-centred approach, the position supports intake, screening and referral processes to ensure families are connected with the most appropriate services.

As a key member of the site administration team, you will contribute to a welcoming, professional and efficient service environment while supporting staff, clients, and program outcomes across the CSU.

The role supports the delivery of the following programs:

Family Relationship Counselling

Supporting individuals, couples and families to strengthen relationships, improve communication, and navigate family challenges.

Family Law Counselling

Providing counselling and support to families experiencing separation, family law matters and relationship transitions.

PEAS in a Pod

Supporting parents and carers through education, connection and practical strategies that strengthen family wellbeing.

Sellick Play and Connect Groups

Facilitating opportunities for children, parents and carers to connect, learn and build supportive community networks through play-based activities.

Key Responsibilities

• Provide reception services including welcoming visitors and responding to telephone and email enquiries.
• Assess and triage enquiries, referring clients to appropriate internal Counselling and Mediation programs or providing information for clients to contact external service if appropriate.
• Provide administrative support as required which may include supporting teams with scheduling client appointments, preparing correspondence, letters and client program information packs

What you need to bring

     Essential

• Certificate III Qualifications in Community Services or equivalent
• Valid Department of Human Services (DHS) Working with Children Check
• Excellent computer literacy including proficiency in Microsoft Office Suite (e.g. Word, Excel, Publisher etc.)
• Demonstrated administrative skills, including a high level of literacy, and use of various formatted documents within a service delivery environment.
• Demonstrated experience and skills in managing a range of computer systems including data entry and word processing skills.
• Demonstrated ability to effectively interact professionally and calmly with client and a range of stakeholders by phone and in person
• Experience in dealing with clients from culturally and linguistically diverse backgrounds, and those of Aboriginal and Torres Strait Islander Backgrounds
• Strong written and verbal communication skills
• Well-developed time management and organisational skills with the ability to prioritise
• Proven ability to work independently and effectively in a multi-faceted team environment
• Experience supporting Work Health and Safety administrative tasks under Management direction
• Ability to travel to other Centacare sites to complete training or attend meetings from time to time

    Desirable

• Experience using Penelope electronic client management system
• Certificate IV in Mental Health (Highly Desirable)
• Current acceptable First Aid and CPR Certificate (CPR updated annually) (Highly desirable)
• Experience working in the non-for-profit or community services sector
