Dental Receptionist

Proactive Dental | Tuesday to Thursday | Approximately 30 Hours Per Week

Proactive Dental is looking for an experienced Dental Receptionist to join our friendly and supportive team on a permanent part-time basis.

This role offers an excellent work–life balance, with regular hours across three main days each week:

• Tuesday, Wednesday and Thursday

• Approximately 30 hours per week

• Two longer days with later finishes and one standard working day

• Occasional rostered Saturday shifts

• Opportunities to pick up additional shifts when available

Our team members take turns working Saturdays so that the responsibility is shared fairly and everyone can maintain a positive work–life balance. The successful applicant will therefore need to be available to work occasional Saturdays, with notice provided through the roster.

As a Dental Receptionist, you will play an important role in creating a positive experience for our patients from their first point of contact through to the completion of their treatment.

Your responsibilities will include:

• Welcoming patients and creating a warm, professional first impression

• Answering incoming calls and responding to patient enquiries

• Managing appointment books and coordinating patient bookings

• Confirming appointments and managing cancellations or schedule changes

• Processing payments, health fund claims and Medicare claims

• Discussing treatment estimates, deposits and payment requirements

• Supporting patients with general questions about their appointments and treatment

• Maintaining accurate and up-to-date patient records

• Following up recalls, outstanding treatment and patient enquiries

• Communicating closely with dentists, dental assistants and the wider team

• Assisting with the smooth day-to-day operation of the reception area

• Maintaining patient privacy and confidentiality at all times

• Providing additional clinical or sterilisation support when required and appropriately trained

We are looking for someone who:

• Has previous experience working as a receptionist in a dental practice

• Is confident managing a busy appointment book and competing priorities

• Has excellent telephone and face-to-face communication skills

• Is warm, professional and able to build rapport with patients

• Is organised, reliable and has strong attention to detail

• Can remain calm and solutions-focused in a fast-paced environment

• Works well independently and as part of a team

• Is confident discussing appointments, treatment estimates and payments

• Takes ownership of their responsibilities and follows tasks through to completion

• Is comfortable using dental practice management software and digital systems

• Is available to work Tuesdays, Wednesdays and Thursdays, including two later finishes

• Is available to participate in the team’s occasional Saturday roster

Previous experience in dental assisting and sterilisation is highly desirable, as it may allow you to provide additional support to the clinical team when required. However, this is not essential, and the primary focus of the position is dental reception.
