About the role
We are looking for an Administration Assistant to join our AutoNexus Parts team in Chullora and play a key role in supporting inventory, quality and customer service operations.
This is a varied position where you'll investigate dealership claims, manage customer enquiries, coordinate transport bookings and support the accurate movement of parts across the network. You'll work closely with dealers, suppliers, transport providers and internal stakeholders to resolve issues, maintain accurate records and ensure a high level of customer service.
This role is ideal for someone who enjoys problem-solving, working with data and systems, and taking ownership of enquiries from investigation through to resolution.
Key Responsibilities
Investigate dealership claims relating to shortages, damages and credit requests
Assess claims and make recommendations based on facts and supporting evidence
Manage customer enquiries and provide timely resolutions
Coordinate transport bookings and logistics requirements
Liaise with dealers, suppliers and transport partners
Conduct product and dispatch audits to ensure accuracy
Review, investigate and resolve AIMS cases
Maintain accurate records across SAP, CRM and internal systems
Produce reports and update operational data for management
Support general administration and operational activities as required
About you
You are an organised and detail-oriented administrator who enjoys working in a fast-paced environment where no two days are the same. You have strong customer service skills, communicate confidently with stakeholders and can balance multiple priorities while maintaining accuracy.
You're naturally curious and enjoy investigating issues, analysing information and making informed decisions. Most importantly, you're proactive, adaptable and take pride in delivering great outcomes for both customers and the business.
To be successful, you will have:
Experience in administration, customer service, logistics or inventory environments
Strong attention to detail and organisational skills
Excellent written and verbal communication skills
Experience managing customer enquiries or claims
Ability to investigate issues and make fact-based decisions
Strong time management and prioritisation skills
Experience working with Microsoft Office applications
Ability to work both independently and within a team
SAP, CRM or inventory management system experience will be highly regarded
Exposure to warranty claims, stock control or warehouse operations is advantageous
