Sydney Ultrasound for Women (SUFW) is a renowned diagnostic ultrasound medical practice, devoted to meeting the needs of women at various stages of their lives. Our doctors are specialist Obstetricians and Gynaecologists (O&G) who have further specialised in ultrasound, high-risk obstetrics and reproductive genetics.

A role with unique responsibilities
The Clinic Coordinator is a hands-on, patient-facing role responsible for the day-to-day management and smooth running of our Kent St clinic in Sydney CBD, one of our busiest SUFW clinics.

You will take ownership of the daily clinic environment, supporting the team and coordinating the many moving parts required to deliver a high standard of patient care and service. Working alongside a multidisciplinary team of sonologists, sonographers, prenatal coordinators, phlebotomists and genetic counsellors, you will provide day-to-day direction and support to ensure the clinic runs efficiently and the team is well supported.

The role is varied and hands-on, with responsibility for coordinating clinic workflows, supporting staff, managing day-to-day issues, overseeing administrative processes and ensuring the clinic environment remains welcoming, organised and patient-focused. Above all, you will play a key role in creating a positive and seamless experience for every patient, ensuring we consistently deliver the best possible patient experience from the moment they arrive at the clinic.

Working closely with the Patient Services Manager, you will also support consistent patient service and clinic processes across SUFW.

Under the guidance of the Patient Services Manager, your responsibilities include: 

• Resolving day-to-day operational issues and problems
• Coordinating the activities of both the clinical and administrative support staff, focussing on patient care
• Ensuring caring, effective and efficient delivery of services
• Liaising with clinical staff to meet operational efficiency and effectiveness targets
• Leading and supervising the patient services coordinator/s at the clinic
• Ensuring the readiness of the facility including stock control
• Optimising the utilisation of resources provided at the clinic
• Achieving Net Promoter Score (NPS) expectations by continually improving the service delivery provided by the clinic 

About you
The ideal candidate will understand the important role they play within the clinic environment and see their contribution as vital to the success of the organisation. Understanding the sensitive nature of reproductive health, our Clinic Coordinators provide compassionate, thoughtful, and supportive communication, while contributing positively to team culture and the overall patient experience. 

Ideally you will bring the following: 

• A strong customer service orientation
• Demonstrable track record of leading others with the ability to build rapport across diverse groups
• Well-developed interpersonal and communication skills 
• The ability to multitask and prioritise
• Excellent organisational skills with a high attention to detail
• Demonstrable medical / specialist reception experience
• A thorough understanding of MBS item numbers and billing
• Proficient computer skills including Microsoft Office Suite and medical software
• A willingness to embrace the Monash IVF Group Principles
