About the role
We're looking for a highly organised, proactive Senior Administrator who loves bringing order to busy days, solving problems before they arise, and being the person everyone can rely on.
If you're the type of person who spots what needs attention early, takes initiative without being asked, and genuinely enjoys helping teams succeed, you'll fit right in.
Working closely with our COO, you'll play a key role in keeping our operations team connected, coordinated and running smoothly. This is a hands-on role with real visibility and influence, making it an exciting opportunity for an experienced senior administrator ready to grow their executive support skills and take the next step in their career.
You'll bring a positive, solutions-focused approach, strong judgement, and the ability to build great relationships across all levels of the organisation. You'll be calm under pressure, adaptable, and someone who enjoys making things happen.

A day in the role might include:Providing high-level administrative support to our COO, including diary management, meeting coordination and communications, helping priorities stay on track and decisions happen efficiently.
Coordinating committee and executive meeting logistics, preparing agendas and papers, taking minutes and ensuring follow-up actions are completed.
Leading our reception team, creating a welcoming experience for visitors while ensuring smooth day-to-day operations, including providing lunch coverage when needed.
Managing shared spaces, meeting rooms and staff facilities so everything runs seamlessly.
Supporting projects, initiatives and organisational priorities that help drive St Bart's forward.
Experience in a Senior Administrator or senior business support role.
Strong Microsoft Office skills, particularly in Word and Excel.
Exceptional organisational skills and the ability to juggle multiple priorities.
Confidence leading a small team and influencing positive outcomes.
A collaborative, people-first approach and the ability to build trust quickly.
Sound judgement and professionalism in a fast-moving environment.
A qualification in Business Administration or a related field (desirable but not essential).
A day on the job will see you:
Providing high-level administration support to our COO, including diary management, meetings and communications, so priorities stay on track and decisions happen faster.
Coordinating committee logistics, preparing materials, taking minutes, and stepping in to support executive meetings only when needed.
Overseeing our small reception team, ensuring a welcoming experience and smooth daily operations. This includes providing lunch coverage.
Overseeing shared spaces, meeting rooms and staff facilities so everything runs as it should
Jumping in where needed and supporting the COO with projects and initiatives that keep our organisation moving forward.

Solid experience in a Senior Administrator or senior business support role
Tech-savvy, with strong skills in Microsoft Word and Excel
Highly organised, able to keep multiple moving parts running smoothly
A people-first approach and the ability to build trust quickly
Steady, professional judgement in fast-paced environments
Business Administration qualifications (nice to have, not essential)

About Us
For 60 years, St Bart’s has supported people experiencing homelessness and severe and persistent mental health issues as they rebuild their lives. We started as a small homeless shelter for men and have grown into a progressive and inclusive organisation providing support to hundreds of Western Australian men, women and families across four key service areas. Our goal is to provide safe, supported accommodation and services to people who need it the most, regardless of background, age, gender or ethnicity.
