About the Role:
Under the direction of the Operations Manager, the Property Services Co-ordinator provides practical coordination and administrative support for BHAC’s housing, property services, accommodation and related operations. The role helps keep day-to-day property work organised by supporting service requests, occupancy records, key registers, property checks, cleaning coordination, maintenance follow-up, purchasing, invoices, job information, reporting and general office coordination.
Key Responsibilities:
Provide administrative and coordination support for BHAC housing, staff accommodation, visitor rooms and other properties in line with policies, budgets and cultural protocols.
Maintain accurate property records, including occupancy details, key registers, housing registers, inventories, cleaning records and accommodation requests.
Coordinate check-in, check-out and vacate processes, including condition reports, key management, inductions, cleaning and required documentation.
Ensure housing compliance requirements are completed, including signed housing policies, procedures and electricity deduction or connection arrangements.
Manage and follow up housing, maintenance and accommodation requests, property issues and operational enquiries.
Respond to enquiries from staff, tenants, contractors and community members, escalating issues when required.
Maintain ServiceM8 records and related registers, ensuring job details, photos, invoices, purchase orders and follow-up actions are current.
Support maintenance administration by logging repairs, tracking work orders and keeping property files up to date.
Assist with purchasing processes, including obtaining quotes, raising purchase orders, checking invoices and monitoring expenses.
Conduct audits of electricity bills, payroll bond and utility deductions, and coordinate bond return administration with payroll.
Prepare operational reports and updates, including overdue jobs, outstanding requests, completed works, compliance activities and grant reporting evidence.
Support team operations through meeting administration, contractor coordination, stock control, WHS compliance, issue escalation and practical property assistance when required.
About you:
To excel in this role you will need to be an organised and customer focused administrator with a strong attention to detail and the ability to manage multiple tasks. You will enjoy working with people and providing practical solutions in a fast-paced environment. Experience in property, housing or maintenance administration will be highly regarded.
Essential Qualifications & Capabilities:
A practical, proactive attitude and willingness to assist with a wide range of property, housing and administration tasks.
Experience with general office administration, including data entry, filing, purchasing, invoices, registers, record keeping and document coordination.
Ability to stay organised, follow up tasks, maintain accurate records and notice when information is missing or incomplete.
Ability to work both in an office and in the field, including property checks, housing preparation, cleaning coordination, practical follow-up and light cleaning in emergencies or where reasonably required.
Good problem-solving skills and ability to take initiative while knowing when to escalate matters to a manager.
Respectful and culturally appropriate communication with Aboriginal staff, tenants and community members.
Ability to work as part of a team, follow direction, and share information clearly with managers, staff, contractors and other BHAC teams.
Basic computer skills, including Microsoft Word, Excel and Outlook, and willingness to use job management systems such as ServiceM8.
Understanding of workplace safety, including hazard reporting, incident reporting and safe work practices.
Current driver’s licence and willingness to travel between properties and sites as required.
Relevant training such as administration, property, facilities, WHS, White Card or First Aid.
Full NT driving licence, ochre card and relevant police checks
Desirable:
Experience living and working in remote communities.
Experience operating a 4WD and driving in remote conditions
First Aid certification or willingness to obtain
Experience and/or knowledge of Aboriginal culture and communities and how they operate.
Experience in housing, property maintenance, facilities administration or accommodation coordination.
Experience using job management systems such as ServiceM8 or similar systems.
