About the role
Reporting to the Manager, the Scheduling Coordinator ensures efficient and effective rostering and scheduling for employees and Service Users. This role involves overseeing staff leave, absences and shift cancellations, ensuring that Support Workers are scheduled in accordance with their employment contracts and in line with Service Users care plans and preferences. This role ensures that services are delivered seamlessly, with respect for each Service User's identity, culture, diversity and life experiences.
Key responsibilities
Create and maintain accurate Support Worker schedules using software
Match Support Workers to Service Users based on skills, availability and care plans
Confirm appointments, manage cancellations/rescheduling and handle last-minute coverage
Communicate with Service Users, families and Support Workers by phone, text and email
Monitor attendance, mileage and progress notes
Maintain records in compliance with privacy policies
Prepare daily/weekly schedule reports and support payroll/timekeeping entries
Participate in on-call rotation for after-hours scheduling needs
Escalate stakeholder feedback to the manager
De-escalate initial concerns, demonstrating person centred care
About you
1+ years scheduling, coordination or administrative experience (healthcare/home care preferred)
Strong organisational skills and attention to detail
Excellent verbal and written communication
Proficient with scheduling software, MS Office (Outlook, Excel) and mobile communication
Ability to handle multiple priorities and work under time pressure
Reliable, professional, and compassionate attitude
Ability to work as part of a team and to handle multiple tasks safely and effectively
Ability to remain calm and composed under stressful or emergency situations
Flexible and reliable with emotional intelligence
