About the role
The Investment Administrator supports the investment team and investors by coordinating investor onboarding, investment transactions and recordkeeping, responding to operational queries, and preparing portfolio and management reports.
Key responsibilities
Manage the administrative process from investor enquiry through to completed investment, including preparing and issuing application forms and supporting materials
Proactively follow up outstanding documents, signatures and funds, keep investors informed of progress, and respond promptly to onboarding enquiries
Review documentation for accuracy and completeness, meet required timeframes, and maintain clear records of each investor's onboarding status and outstanding requirements
Provide updates to investors on the status of their investment as required
Respond promptly to general investor queries
Refer investment, product or strategic questions to the Head of Investments
Collect identification, entity, eligibility and source-of-funds documentation and complete KYC, AML/CTF and TMD-related checks in line with internal procedures
Identify incomplete, inconsistent or potentially non-compliant documentation and escalate issues promptly
Maintain accurate, audit-ready compliance records and investor files
Coordinate completed applications with the fund administrator and process investment-related transactions, including applications, withdrawals and confirmations
Confirm receipt and processing of investment funds and accurately record completed investments
Monitor outstanding transactions and resolve processing issues, discrepancies and exceptions
Maintain current investor and pipeline records in the Loan Management System and CRM, and support portfolio and management reporting
Provide day-to-day administrative and operational support to the Investor Relationship Managers and Head of Investments
Prepare documentation for investor meetings and track agreed actions through to completion
Develop and maintain templates, checklists and investor onboarding procedures
About you
A relevant tertiary qualification
Experience in financial services, ideally in investment administration, wealth or funds management, including client onboarding and financial services documentation
Working knowledge of KYC, AML/CTF and TMD requirements
Strong attention to detail and sound document- and record-management skills
Highly organised, with the ability to manage multiple applications and competing deadlines and take ownership through to completion
Clear, professional communication skills and confidence following up outstanding information with investors
Proficiency with CRM and loan management systems
Desirable: experience working with a mortgage/private credit fund, trustees, fund administrators, registrars or investment platforms
