We are now looking for an experienced Administration & Customer Service Coordinator to become an important part of our office team.
About the Role
This is a customer-focused role requiring strong administration skills, a high level of computer literacy, and exceptional customer service and communication skills.
You will be responsible for a combination of customer relationship management and day-to-day administration, including invoicing, data entry, emails, customer records and business systems.
A significant part of the role will involve proactively communicating with our existing customers, maintaining strong relationships, understanding their ongoing needs and ensuring they continue to receive a high level of service.
We are looking for someone who is equally confident working with computers and working with people — highly organised and accurate behind the scenes, while warm, professional and confident when communicating with customers.
The balance between administration and customer relationship management may develop over time depending on business needs and the successful candidate’s strengths.
Key Responsibilities
* Proactively contact existing customers on a daily basis to maintain strong relationships and understand their ongoing service requirements
* Answer incoming calls and respond to customer enquiries by phone and email
* Build and maintain long-term customer relationships
* Follow up customer requests, enquiries and outstanding matters
* Reconnect with customers who have become less active
* Maintain accurate customer records, notes and follow-up actions
* Prepare, process and issue customer invoices
* Perform accurate data entry and maintain company databases
* Manage emails, electronic records and documentation
* Prepare and update Excel spreadsheets and internal reports
* Coordinate customer requirements with internal teams
* Identify customer needs, service opportunities and potential issues
* Ensure customer matters are followed through to completion
* Provide general administration and office support as required
About You
We are looking for an experienced office professional with a strong combination of administration, computer and customer relationship skills.
You will ideally have:
* Several years of administration, customer service, service coordination or similar experience
* Strong computer skills and a high level of computer literacy
* Strong working knowledge of Excel, Outlook and Microsoft Office
* Experience with invoicing, data entry and customer databases
* Experience using CRM, accounting or other business management systems
* Excellent attention to detail and accuracy
* Exceptional verbal communication and interpersonal skills
* Strong experience communicating with and maintaining relationships with customers
* Confidence proactively contacting customers on a regular basis
* A warm, professional and confident telephone manner
* Strong written English and professional email communication skills
* Excellent organisation, time-management and follow-up skills
* The ability to manage multiple priorities and learn new systems quickly
* A proactive approach and willingness to take ownership of responsibilities
Experience within transport, logistics, automotive, environmental services, resource recovery or another service-based business will be highly regarded but is not essential.
