AUS (Canberra) - Corporate Services Officer, AO

The UK in Australia Network consists of five Missions – the British High Commission in Canberra, as well as Consulates-General in Perth, Melbourne, Brisbane, and Sydney.  This role is part of the Corporate Services Team which is responsible for delivering effective HR, Finance, IT, Estates, and Security services to all UK Missions in Australia.

This specific role plays a key part in supporting compliance and assurance by monitoring delivery across key controls, maintaining effective records and datasets, scheduling works, and deputising for team members as necessary. The role holder will also provide support to the Lead IT Support Officer (ITSO), including maintaining an up-to-date asset inventory and a mobile phone database, and support development, and more effective use, of digital tools and automated processes.

The role holder will be responsible for the following:

• Compliance and Assurance support to the Head of Corporate Services and Corporate Services Manager
  
  • Scheduling governance meetings, recording minutes, and progressing agreed actions
  • Tracking performance against key controls and metrics
  • Coordinating business returns
• Deputy IT Support Officer (ITSO)
  • Maintenance of up-to-date phone lists and mobile phone database to ensure billing information is correctly aligned to individual user
  • Maintenance of ICT asset registers / inventories
  • ICT support tasks under the direction of the ITSO
  • Initiatives to streamline or digitise transactional processes
• Broader Corporate Services team support including:
  • Acting as a first point of contact for general CS enquiries, prioritising demands, and signposting to sources of support
  • Deputising for absent colleagues as required
  • Procurement of goods and services, including reconciliation of expense reports and budget monitoring
  • Flexible ad hoc logistical support

The role holder will need excellent communication skills, a proactive approach, and a willingness to learn. They should be able to work well as part of a broader team and be comfortable interacting with a wide range of colleagues and stakeholders.

Resources managed (staff and expenditure):

No direct line management, but role provides opportunities to gain experience of broader HR policies and practice as part of the FCDO’s assurance requirements. Some limited budget management experience is possible.

• Excellent written and spoken communication;
• Strong interpersonal skills: must include good teamwork;
• Good organisational skills, including time-management;
• Problem solving skills, and flexibility/ willigness to respond to changing priorities. 
• IT literate with Windows operating system and Microsoft Office suite. Familiar with basic IT hardware.

• Interest in digitisation / use of technology to automate or streamline processes.
