Ultrasound for Women (MUFW) is a renowned diagnostic ultrasound medical

A
role with unique responsibilities
We
are seeking a highly organised and proactive Genetics Services Coordinator to
provide administrative and operational support to our Clinical Genetics team.
This is a varied and rewarding role where you will act as the central
coordination point between our Clinical Geneticist, Genetic Counsellors,
patients, and donor teams.
You will play a critical role in ensuring genetics consultations run smoothly, appointments are efficiently managed, documentation is prepared, and patients receive exceptional service throughout their journey.
This role suits someone who thrives in a fast-paced healthcare environment, enjoys juggling multiple priorities, and takes pride in providing outstanding administrative support.
Under the guidance of the Clinical Geneticist, your key responsibilities include:
Coordination and scheduling of genetics appointments, including initial consultations and review appointments.
Serving as a key point of contact for patients, clinicians, donor teams, and external stakeholders.
Management of both in-person and telehealth (Zoom) consultations.
Arranging tandem appointments involving the Clinical Geneticist and Genetic Counsellors.
Ensuring the Clinical Geneticist has all relevant patient information and supporting documentation prior to appointments.
Managing correspondence, reports, referrals, and clinical letters.
Maintaining accurate patient records.
Financial administration, including invoicing, receipting, Medicare billing enquiries and expense management.
Are you the ideal candidate for us?
To be successful in this role, you will be a highly organised Administrator or
Coordinator who can think critically, work independently, and manage competing
priorities with ease.
You will demonstrate:
Previous experience in administration, medical administration, healthcare coordination, or a similar role.
Exceptional organisational and time management skills.
The ability to prioritise workload and meet deadlines in a dynamic environment.
Strong attention to detail and a high level of accuracy.
Excellent written and verbal communication skills.
Proven ability to manage multiple tasks simultaneously.
Strong interpersonal skills and a patient-focused approach.
A proactive, self-motivated, and solutions-focused mindset.
Confidence using Microsoft Office and administrative systems.
Experience with medical billing, Medicare, or healthcare administration will be highly regarded.
