We are a growing mobile dental healthcare provider delivering professional dental services to childcare centres, schools and aged care facilities across Australia.

As our business continues to grow, we’re looking for an organised, proactive and confident Dental Operations Coordinator to help oversee our day-to-day operations, improve systems and processes, and support the continued growth of our business.

About the RoleThis is more than a typical administration role.
As our Dental Operations Coordinator, you’ll be the central point of coordination for our mobile dental services, helping ensure our clinics operate smoothly across multiple locations.
You’ll work closely with our dental team, administration staff, childcare centres, schools, aged care facilities and families to coordinate visits, improve workflows, resolve operational issues and deliver an outstanding experience for our patients and partner organisations.
We’re looking for someone who enjoys taking responsibility, works independently, communicates confidently and isn’t afraid to have professional conversations to resolve issues when they arise.
Key ResponsibilitiesCoordinate the day-to-day operations of our mobile dental services.
Ensure smooth communication between clinicians, administration staff and partner organisations.
Monitor workflows and resolve operational issues promptly.
Develop and improve systems, processes and standard operating procedures.
Identify opportunities to improve efficiency, productivity and patient experience.
Manage appointment bookings, confirmations, cancellations and rescheduling.
Coordinate clinician schedules across multiple locations.
Optimise appointment utilisation and minimise scheduling gaps.
Liaise with childcare centres, schools, aged care facilities and families regarding appointments.
Support and coordinate clinical and administration team members.
Assist with onboarding and training new team members.
Maintain effective communication across all mobile clinic locations.
Promote a positive, accountable and solutions-focused team culture.
Build and maintain strong relationships with childcare centres, schools and aged care partners.
Respond to enquiries promptly and professionally.
Confidently handle phone calls and difficult conversations when required.
Follow up outstanding parent payments, consent forms and other required documentation.
Resolve day-to-day issues independently and escalate only where appropriate.
Maintain accurate records and documentation.
Assist with invoicing, reporting and operational administration.
Monitor performance and recommend improvements.
Support the implementation of new technology and more efficient workflows.
Ensure documentation complies with dental industry standards.
Support infection control and quality assurance processes.
Contribute to continuous improvement across the business.
You’ll ideally have:
Previous experience in a dental, medical or healthcare environment.
Experience in practice coordination, healthcare administration or operations.
Excellent organisational and time management skills.
Outstanding communication and interpersonal skills.
Experience managing appointments and coordinating multiple priorities.
Confidence using dental software and digital systems (highly regarded).

Up to $40/hour + GST (depending on experience, maximum contractor rate).
