About the Role
This program does not run on good intentions. It runs on a plan that is accurate, a governance cadence that never slips, and someone making sure that actions, risks and dependencies do not fall through the cracks. That someone is you.
One day you are pulling together the agenda for a leadership steering meeting; the next you are chasing down an overdue action, coordinating a recruitment interview, or making sure the COO has the right briefing pack before they walk into a room. You will bring order to a fast-moving environment where workstream leads are juggling multiple priorities alongside business as usual, and where the difference between a program that stays on track and one that does not often come down to the coordination happening in the background.
A significant part of the role is coordinating the administration behind a large-scale recruitment effort, working closely with external partners to keep candidates moving smoothly through approval, sourcing, interview and onboarding. Alongside this, you will support governance forums, maintain the program's documentation and trackers, and pitch in on travel, facilities and supplier administration as the program needs it.
Key Responsibilities
Coordinate meetings, governance forums and key project events, including agendas, minutes and action tracking.
Monitor actions, risks, issues and dependencies across the workstream, escalating where needed.
Maintain program documentation, trackers, registers and reporting for leadership and stakeholders.
Coordinate recruitment administration end to end, acting as the key link between hiring leaders, People & Culture and external recruitment partners.
Support onboarding, travel, facilities and supplier administration as required.
About You
You are a true Master of Project Coordination. You have at least a couple of years behind you in project coordination, project support or a PMO, ideally on a program complex enough that you have had to keep several plates spinning at once without dropping one. You hold, or are working towards, tertiary qualifications in business or project management, or you have built the equivalent through experience.
You are the person a governance forum can rely on without being asked twice, someone who chases an overdue action with the right mix of persistence and diplomacy, and who can hold a senior stakeholder to a deadline without ever losing the relationship. Your written communication is clear and your attention to detail is not negotiable, particularly when the environment around you is anything but predictable.
You are comfortable operating in the grey, where priorities shift and multiple workstreams demand your attention at once. Experience supporting large-scale organisational or recruitment programs, or a background in energy, utilities or another regulated industry, would be a strong advantage.
