We're seeking a dynamic and detail-oriented Clinic Receptionist on a full-time basis to join our busy Melbourne clinic with is located on St Kilda Rd. This is a standard full-time position, working Monday to Friday 9am-5pm.
As the first point of contact for our patients and their families, delivering exceptional customer service is a key aspect of this role. You will play a crucial part in creating a welcoming, supportive, and efficient environment from the moment they walk through the door. Reporting to the Clinic Manager and supported by our dedicated administrative team, you'll thrive in this fast-paced setting if you are an achievement-driven self-starter who brings strong multitasking abilities and a meticulous attention to detail to your daily work. Deliver Exceptional Customer Service: Leverage your proven track record of excellent customer service to build rapport, anticipate patient needs, and ensure a consistently positive clinic experience from start to finish.
Create a Warm Welcome: Greet patients, family members, and visitors with a friendly and professional demeanor.
Manage Inquiries & Appointments: Handle patient inquiries in person and over the phone, and accurately schedule appointments.
Ensure Seamless Communication: Maintain clear and effective communication with staff and patients.
Process Transactions & Reconciliations: Manage patient payments and perform end-of-day reconciliations.
Address Concerns & Escalate Issues: Handle patient complaints and escalate complex issues to the Clinic Manager.
Maintain Office Efficiency: Perform data entry, manage mail and filing, order office supplies, and maintain clinic stocktake.
Uphold Cleanliness: Ensure the reception area and office are clean and organised.
Support Clinic Events: Assist with the organisation and execution of clinic events and seminars.
Comprehensive Training: Receive thorough and ongoing training to excel in your role.
Collaborative Team Environment: Work alongside a supportive and approachable multidisciplinary team.

Proven Customer Service Track Record: Demonstrated experience in a customer service, front-facing, or sales role, with a proven ability to deliver exceptional care and build positive relationships.
Strong Multitasking Abilities: Ability to thrive in a fast-paced environment, efficiently juggling phone inquiries, patient check-ins, and administrative duties.
Meticulous Attention to Detail: High accuracy in scheduling appointments, processing payments, performing end-of-day reconciliations, and managing data entry.
Excellent Communication: Strong written and verbal communication skills with a compassionate, professional demeanor.
Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office and the ability to quickly learn clinic management software.
Flexible Availability: Availability to work during school holidays.
Experience with Cliniko practice management software.
Experience with Salesforce CRM.
Experience within a high-call environment.
Previous experience in a sales environment.
Previous experience in a healthcare setting.
