About the role
Client Service/Reception Role – Paediatric Occupational Therapy Clinic, Edgecliff
Join our dedicated team at Kids First Therapy Hub, a caring Paediatric Occupational Therapy and Speech Pathology clinic in Edgecliff! We are seeking a friendly, highly organised Client Service and Receptionist to join us on a part-time basis (4 days per week) on a fixed-term contract to cover maternity leave.
You will play a vital role in keeping our practice running smoothly by supporting our therapists, managing day-to-day administration and creating a warm, welcoming environment for our families and children.
Key Responsibilities:
Client and Calendar Management: Coordinate appointments and manage client bookings using practice management software (Halaxy).
Enquiries and Intake: Handle inbound referrals and client enquiries via phone and email with a warm, empathetic tone.
Billing Support: Assist with invoicing, client payment queries and Medicare or NDIS claim processing (supported by our bookkeeper).
Reporting and Documentation: Prepare practice performance reports using software tools (Halaxy & Google Sheets) and assist in maintaining policy and procedure manuals.
Marketing and Engagement: Manage our social media platforms (Instagram, Facebook and LinkedIn) and create engaging content using Canva, Mailchimp and QR codes.
Clinic Operations: Welcome clients and families, ensure reception runs efficiently and maintain a clean, child-friendly clinic space.
Requirements:
Proven experience in a medical receptionist, client service or practice administration role (experience with Halaxy, NDIS or Medicare is a strong advantage).
Excellent communication, organisational and problem-solving skills.
Strong IT proficiency (G-Suite) and a proactive approach to adopting new systems and workflows.
A warm, compassionate and professional demeanour with a passion for working in a paediatric setting.
