Events Coordinator

About the role

The Events Coordinator is responsible for the planning, administration and operational delivery of Gymnastics SA events and competitions. Working closely with Sport Management Committees (SMCs), clubs, volunteers, officials, casual staff, suppliers and the Gymnastics SA team, the role ensures events are organised, safe, inclusive and professionally delivered. The position combines year-round coordination and administration with hands-on event delivery and requires strong organisation, communication, leadership and problem-solving skills.

Key responsibilities

• Coordinate Gymnastics SA events and competitions from planning and preparation through to delivery, pack-down and post-event administration.
• Develop event schedules, run sheets, announcer scripts, signage, certificates and other operational documentation.
• Secure venues and coordinate suppliers including AV, staging, physiotherapists, merchandise, equipment, catering and announcers.
• Collate event requirements and ensure equipment, awards, accreditations and resources are ready; coordinate ticketing and event technology.
• Facilitate SMC planning meetings and act as a key onsite contact for SMCs, volunteers, staff and suppliers.
• Oversee venue set-up, event-day operations and pack-down, including catering, trophy collection, accreditation distribution and event-specific requirements.
• Roster and coordinate the casual workforce required for events, ensuring appropriate coverage.
• Coordinate event communications with clubs, participants, coaches, officials, volunteers and other stakeholders.
• Order and manage event awards and resources including trophies, medals, ribbons, badges and athlete gifts.
• Maintain and monitor the annual event budget and support effective management of event expenditure.

About you

• Experience in event coordination, sports administration, competition management or a similar operational role.
• Relevant tertiary qualifications and/or at least three years' experience in a similar role.
• Strong organisational and project coordination skills, with the ability to manage multiple deadlines and priorities.
• Excellent written, verbal and interpersonal communication skills and the ability to build positive stakeholder relationships.
• Experience coordinating, supporting or leading staff and volunteers.
• Strong attention to detail, sound judgement and a proactive approach to problem-solving and continuous improvement.
• Confidence using digital systems and the ability to learn event, ticketing, website and communication platforms.
• The ability to work effectively both independently and as part of a collaborative team.
• Hold or be eligible for a Working with Children's Check.
• Flexibility required around the Gymnastics SA event calendar, including weekend and occasional after-hours work during event periods.
