We are seeking an experienced and motivated Procurement / Spare Parts / Service / Warranty Officer to join our Vehicles team in Newcastle.

This is a diverse and rewarding role that combines procurement, customer relationship management, spare parts coordination, service administration and warranty management. You’ll play a pivotal role in ensuring projects, products and services are delivered on time, within budget and to the high standards our customers expect.

Working closely with suppliers, production teams, engineers and customers, you’ll help drive operational success while supporting the continued growth of our national spare parts and service business.

About the Role

As our Procurement / Spare Parts / Service / Warranty Officer, you’ll be responsible for coordinating purchasing activities, managing supplier relationships and supporting customers throughout the entire service and spare parts lifecycle.

This role offers variety, autonomy and the opportunity to make a genuine impact. You’ll work across procurement, inventory management, customer support, warranty administration and business growth initiatives while contributing to the success of a leading Australian manufacturer.

Responsibilities

Your responsibilities will include:

• Coordinating procurement activities to support production and project delivery.
• Sourcing, negotiating and managing suppliers to achieve quality, cost and delivery objectives.
• Raising purchase orders and monitoring supplier performance.
• Maintaining purchasing records, inventory data and ERP transactions.
• Managing spare parts sales orders from enquiry through to delivery.
• Coordinating service jobs and providing customers with regular updates.
• Preparing quotations for spare parts and service requirements.
• Managing warranty claims, returns and customer enquiries.
• Building strong relationships with customers, suppliers and internal stakeholders.
• Monitoring inventory levels and supporting stock management initiatives.
• Identifying opportunities to grow spare parts and service revenue.
• Supporting continuous improvement across procurement and customer service activities.

About You

You are a highly organised and customer-focused professional who enjoys building relationships, solving problems and delivering outstanding outcomes.

You will ideally bring:

• Experience in procurement, purchasing, supply chain, service coordination or administration.
• Strong negotiation and supplier management skills.
• Experience managing customer enquiries, orders and service requests.
• Understanding of inventory control and purchasing processes.
• Strong communication and relationship-building capabilities.
• Exceptional organisation and attention to detail.
• Experience using ERP systems and Microsoft Office applications.
• The ability to manage competing priorities in a fast-paced environment.
• A proactive approach with a strong focus on customer satisfaction.
• Commercial acumen and a passion for continuous improvement.
