The Role:

The Executive Assistant to the CEO provides high-level administrative and executive support to ensure the smooth and efficient operation of the CEO’s office within a fast-paced manufacturing environment. This role is responsible for managing schedules, coordinating meetings, preparing reports and presentations, and acting as a key point of contact for internal and external stakeholders. With strong discretion, professionalism, and organisational skills, the Executive Assistant enables the CEO to focus on strategic leadership by handling day-to-day operational and administrative tasks with efficiency and confidentiality. A key requirement of the role is strong Mandarin and English business communication capability, supporting the CEO, Australian operations, China-based suppliers, manufacturer partners and other international stakeholders

Key Responsibilities:

• Manage the CEO’s calendar, schedule appointments, and coordinate meetings, events, and travel arrangements
• Act as a professional and confidential contact between the CEO and internal/external stakeholders
• Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO
• Attend and record meeting minutes, follow up on action items, and assist in tracking key deliverables
• Screen and manage emails, calls, and requests, prioritising issues and redirecting as appropriate
• Coordinate board meetings and executive-level communications, ensuring timely and accurate documentation
• Assist with the preparation of briefing materials, strategic documents, and confidential reports
• Ensure the CEO is well-prepared for meetings, events, and engagements through proactive planning
• Support various business projects and initiatives as directed by the CEO
• Maintain the highest level of professionalism, confidentiality, and discretion in all interactions
• Identify opportunities to improve office efficiency and support systems for executive operations

You will need to demonstrate:

• Proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative support role
• Exceptional organisational, time management, and multitasking abilities
• Mandarin and English business communication
• Strong written and verbal communication skills
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools
• High level of discretion and confidentiality in handling sensitive information
• Ability to work independently, prioritise tasks, and remain calm under pressure
• Strong attention to detail and problem-solving skills
• Tertiary qualification in Business Administration, Communications, or a related field is favourable
• Familiarity with project coordination and strategic planning processes
• Ability to travel frequently, domestic & international
