Administration Assistant

Solomon Hollett Lawyers is one of Western Australia’s leading inheritance law firms. We are looking for an Administration Assistant who thrives in a busy environment, follows process with precision, and genuinely enjoys the rhythm of a high-performing professional services team.

This is not a role where every day is the same. The volume is real, the standards are high, and we need someone who finds that energising rather than overwhelming.

The Role

You will work across a broad range of administration functions — from client-facing reception support through to billing, team support, and process compliance. Attention to detail and a commitment to following established processes are non-negotiable in this role. The work moves quickly, and accuracy matters.

Reception & Client Service:

• Answer phones and respond to client enquiry emails
• Meet, greet and liaise with clients professionally
• Arrange and coordinate client meetings
• Maintain our client database with accurate information

Operational & Administrative Support:

• Provide comprehensive administrative support across the firm
• Assist with implementation and maintenance of office procedures - and follow them consistently
• Draft client correspondence and contact third parties as required
• Monitor client correspondence and engagement processes
• Support tracking and analysis of key performance indicators (KPIs)
• General office administrative duties as required

Financial & Administrative Support:

• Support with allocation of disbursements
• Assist with billing processes
• Assist with the management of client debtors

About You:

You are organised, accurate, and comfortable working at pace. You follow process because you understand why it matters — not because you have to. You notice when something is off, and you do something about it.

You will bring:

• Strong attention to detail — this is the most important thing in this role
• A genuine appreciation for process and procedure, and the discipline to follow them consistently
• The ability to work at pace without compromising accuracy
• Strong organisational and time management skills
• Excellent communication and interpersonal skills
• Professional presentation and a genuine customer service focus
• High computer literacy and strong Microsoft Office skills, particularly Word and Outlook
• A desire to take ownership of responsibilities and see tasks through
• A track record in recent roles that reflects the experience stated in your resume
• Previous administration experience in a professional services environment is highly advantageous.
