Perth Studio
Our studio space is centrally located at the heart of the CBD, on the banks of the Derbarl Yerrigan in the traditional lands of the Whadjuk Noongar people. We offer a highly collaborative environment with opportunities for hands-on mentorship and learning. Our team believes in the importance of creating a studio environment where an openness to new ideas and collaboration sits in partnership with deep knowledge and expertise.

The Role  

• Providing high-level administrative and organisational support to the Studio Directors.  
• Coordinating the day-to-day operations of the Perth studio, ensuring an efficient, well-managed and welcoming workplace.  
• Supporting monthly financial processes, including project billing, revenue forecasting, work-in-progress reviews, debtors and studio reporting. 
• Working with Studio Directors and Finance team to maintain accurate pipeline, financial and operational information. 
• Supporting local people-related activities, including coordinating aspects of the annual people cycle, monitoring leave records, assisting with onboarding, arranging interviews and recruitment advertising, and helping coordinate resourcing with our global studios.  
• Supporting the preparation of bids, submissions and other business development materials, including document formatting, InDesign coordination, CV updates, marketing collateral. 
• Coordinating contracts, commercial documentation, project insurances and risk matters with ASPECT’s Commercial team. 
• Arranging meetings, welcoming clients and guests, and preparing meeting and collaboration spaces.  
• Coordinating domestic and international travel arrangements as required.  
• Managing studio facilities, suppliers, technology coordination and events. 
• Maintaining accurate project contacts, calendars, filing systems and studio records.  
• Supporting local WHS, quality, environmental and other corporate compliance requirements. 

About You
We are seeking a proactive, collaborative and highly organised professional who thrives in a dynamic environment and takes pride in delivering exceptional outcomes. You will bring a solutions-focused mindset, strong attention to detail, and a commitment to continuous improvement.

You are an experienced office or studio operations professional with the confidence and capability to build trusted relationships with a diverse range of stakeholders. You will combine excellent administrative and organisational skills with a warm, professional approach, helping to create a positive experience for our people, clients and collaborators.

A strong eye for presentation and design quality is essential. You will be proficient in Microsoft Office applications, particularly Excel and Word, and have experience using InDesign or similar layout software to prepare professional documents and submissions.

Ideally, you will have experience within a project-based environment and be comfortable supporting project administration, invoicing and financial processes. Experience within landscape architecture, architecture, design, engineering or other professional services environments will be highly regarded, although we welcome applications from candidates with transferable skills gained in other multidisciplinary or international organisations. 

The successful candidate will demonstrate: 

• A minimum of five years' experience in a comparable office, studio or operations support role. 
• The ability to prioritise competing operational, financial and people requirements in a fast-moving environment. 
• Commercial and financial literacy, with experience interpreting project or business financial information. 
• Strong office and business administration experience, with responsibility for coordinating day-to-day operations. 
• Bookkeeping or finance administration experience, including exposure to invoicing, project billings or accounting processes. 
• An understanding of people and employment-related processes, with some knowledge of relevant workplace legislation and compliance requirements. 
• An understanding of contracts, commercial risk and professional-services project administration. 
• Outstanding interpersonal skills, with the ability to build effective and trusted relationships at all levels. 
• Excellent written, numerical and organisational skills, with exceptional attention to detail. 
• Strong proficiency in Microsoft Office applications, particularly Excel and Word. 
• Experience using InDesign or similar document layout software. 
• Qualifications in business administration, management or a related discipline (desirable).
