We are seeking an experienced and highly organised Reservations & Hotel Administration Coordinator to oversee reservations across both properties and support the ongoing success of our growing accommodation portfolio.

This is a hands-on role that will be based across Miss Baker's Bondi (30+ rooms), Hotel Leichhardt (17 rooms, opening soon) and our corporate head office. The successful candidate will play a critical role in maximising occupancy, maintaining reservation accuracy, supporting hotel operations and delivering exceptional guest service.

About the Role

As the Reservations & Hotel Administration Coordinator, you will be responsible for managing all reservations and accommodation administration functions across both hotels. You will be the key point of contact for guest bookings, group enquiries, OTA coordination and reservation inventory management while also supporting operational reporting and hotel administration requirements.

Your primary objective will be to maximise room occupancy, drive revenue opportunities and ensure a seamless guest booking experience from enquiry through to arrival.

A Little Taste of Your Day-to-Day

• Manage all guest reservations for Miss Baker's Bondi and Hotel Leichhardt.

• Process and confirm individual and group reservations accurately and efficiently.

• Monitor room inventory and availability across all booking channels.

• Coordinate OTA platforms including Booking.com, Air Bnb and other distribution partners.

• Monitor market demand, competitor pricing and local events to support optimal room pricing.

• Work closely with management to maximise RevPAR, ADR and occupancy across both hotels.

• Maintain reservation systems and guest profiles, ensuring accuracy at all times.

• Respond to guest enquiries via phone, email and online channels.

• Assist with room allocations, special requests and VIP bookings.

• Manage reservation modifications, cancellations and amendments.

• Assist with preparing daily, weekly and monthly occupancy and revenue reports.

• Support hotel management with forecasting, rate reviews and inventory management.

• Liaise closely with hotel operations, housekeeping and front office teams to ensure guest requirements are communicated and delivered.

• Coordinate group bookings and rooming lists where required.

• Monitor guest feedback and assist in resolving booking-related issues.

• Provide administrative support to the accommodation operations team.

• Work across both hotel locations and from head office as required.

What We're Looking For

• Previous experience in hotel reservations, front office or accommodation operations.

• Experience working with hotel PMS systems (Cloudbeds experience highly regarded).

• Experience managing online travel agents (OTAs) and channel distribution systems.

• Experience using revenue management and pricing platforms such as PriceLabs, Beyond Pricing, Duetto, Lighthouse or similar systems.

• Strong understanding of dynamic pricing, competitor rate monitoring, demand forecasting and occupancy optimisation.

• Ability to work with hotel management to recommend pricing strategies that maximise revenue while maintaining occupancy targets.

• Strong administrative and organisational skills.

• Excellent communication skills and a professional phone manner.

• High attention to detail with strong data entry accuracy.

• Ability to manage multiple tasks and priorities across multiple properties.

• Intermediate to advanced Microsoft Office skills.

• A proactive and solutions-focused approach.
