Reports to: CEO & Provost, Office of the Chief Executive

We are seeking a highly organised and proactive Policy and Project Reporting Coordinator to support strategic initiatives, governance processes, and organisational effectiveness across The Cairnmillar Institute.

This is an exciting opportunity to work closely with senior leaders and key stakeholders to coordinate policy development, monitor strategic and operational projects, support quality improvement activities, and deliver high-quality reporting that informs decision-making and organisational performance.

ABOUT THE CAIRNMILLAR INSTITUTE

The Cairnmillar Institute is a not-for-profit provider of psychological services and higher education, with a 65-year history of supporting mental health and training the next generation of practitioners. We offer clinics, short courses, vocational training and accredited postgraduate programs in psychology, counselling and psychotherapy.

In this role you will:

• Coordinate organisational policy development, review and implementation processes to ensure compliance with legislative, regulatory, accreditation and governance requirements.
• Support strategic and operational projects through effective monitoring, reporting, risk tracking and stakeholder engagement.
• Develop and maintain project reporting systems, dashboards, templates and performance metrics to support informed decision-making.
• Prepare high-quality reports, briefings, papers and committee documentation for Executive Leadership and governance committees.
• Support organisational planning, accreditation activities, quality improvement initiatives and compliance reporting.
• Build strong relationships across the Institute and facilitate collaboration on key organisational priorities.

About You

You are a highly organised professional with strong analytical and written communication skills. You enjoy working across multiple priorities, engaging with diverse stakeholders, and turning complex information into clear, actionable reports. You bring a continuous improvement mindset, excellent attention to detail, and a commitment to supporting organisational effectiveness and accountability.

You will bring:

• A tertiary qualification in health administration, education, project management, quality management, research, psychology, counselling or a related discipline.
• Demonstrated experience coordinating projects, reporting activities, governance processes or organisational initiatives.
• Experience developing, reviewing or implementing policies and procedures.
• Strong report writing, policy drafting and documentation skills.
• Excellent analytical, problem-solving and organisational abilities.
• Strong stakeholder engagement and relationship management skills.
• Advanced proficiency in Microsoft Office applications including Word, Excel and PowerPoint.
• The ability to work independently while collaborating effectively across teams.

Desirable:

• Experience within higher education, healthcare, mental health, government or not-for-profit organisations.
• Knowledge of governance, accreditation, quality assurance or compliance frameworks.
• Experience developing dashboards, reporting systems and performance metrics.
• Formal project management qualifications or certifications.
