About the role
Are you highly organized, detail-oriented, and passionate about delivering exceptional customer service? We're looking for a proactive Portals Administrator to join our team and play a vital role in managing client and insurer portals, ensuring jobs move efficiently from allocation through to completion.

About the RoleAs a Portals Administrator, you will be responsible for managing work orders across multiple customer and insurance portals, ensuring information is accurate, up to date, and compliant with service level agreements (SLAs). You will work closely with our Service Department to ensure portal information reflects the live status of every job, while also processing invoices and supporting the smooth completion of work orders.
Key ResponsibilitiesMonitor and manage incoming work orders through customer and insurer portals.
Create, update, and maintain job information within internal systems and customer portals.
Ensure all work orders are updated in real time using information provided by the Service Department.
Maintain accurate job statuses, notes, completion dates, and required documentation within each portal.
Process invoices through customer and insurer portals, ensuring accuracy and timely submission.
Upload supporting documentation, photographs, completion reports, and invoices as required.
Track job progress and follow up with operational teams to ensure SLA compliance.
Liaise with the Service Department to obtain the latest job information and resolve discrepancies.
Communicate professionally with customers, insurers, and internal stakeholders regarding work order status.
Resolve portal-related issues and escalate where necessary.
Maintain accurate records and assist with reporting requirements.
Identify opportunities to improve administrative processes and portal efficiencies.
You'll be someone who thrives in a fast-paced environment, enjoys working with systems, and has exceptional attention to detail.
You'll ideally have:
Previous administration experience in a service, construction, insurance, or facilities management environment.
Experience using customer or insurance portals (highly regarded).
Experience processing invoices and maintaining accurate records.
Strong attention to detail with excellent data entry accuracy.
Excellent organisational and time management skills.
Ability to manage multiple priorities and meet deadlines.
Strong computer skills and confidence learning new systems.
Excellent written and verbal communication skills.
A collaborative approach and the ability to work closely with operational teams.
A proactive attitude with a commitment to delivering outstanding customer service.
