About the role
Practice Manager / Senior Dental Receptionist
A stable, long-term role in a supportive, owner-led dental practice
Berwick, South-East Melbourne | Permanent Role | Up to 4 Days | $36 to $40 per Hour
Not every experienced dental professional wants to move away from patients and into a purely management role.
If you enjoy knowing your patients, keeping the day organised and being the reliable person who helps everything run smoothly, this could be a great fit.
Woodleigh Waters Dental is looking for an experienced Practice Manager / Senior Dental Receptionist to work closely with our principal dentist, Dr Alex.
This is a hands-on role combining senior reception and practice coordination, with the opportunity to grow your responsibilities as the practice develops from two to three chairs.
Why This Role Is Different
A Small, Supportive Practice
You will work directly with the practice owner in a close-knit team where communication is straightforward, your contribution is valued and there are no layers of corporate management.
Stability & Work-Life Balance
Permanent part-time, up to 4 days per week
Practice hours of 9am to 6pm
Starting from $36 to $40 per hour, depending on experience
Long-term opportunity with increasing responsibility
A genuine 3-year pathway as the practice grows from two to three chairs
Support to Develop and Grow
We want someone who can settle into the practice, build strong relationships and grow with us.
You will have clear expectations, regular feedback, mentoring and practice-funded leadership development to help strengthen your management and business skills.
About the Role
You will be at the centre of the day-to-day practice, helping create a calm, organised experience for patients and the clinical team.
Working closely with the owner, your responsibilities will include:
Managing reception, patient enquiries and communications
Maintaining an organised and productive appointment book
Proactively managing gaps, cancellations and schedule changes
Leading our small team with regular huddles and open meetings
Managing recalls, reactivation and incomplete treatment follow-up
Assisting with financial admin, processing payments, HICAPS and DVA
Supporting rosters, onboarding and team coordination
Maintaining practice systems, procedures and documentation
Coordinating suppliers and consumables
Supporting compliance and practice records
Identifying opportunities to improve systems and workflows
About You
You are likely someone who:
Has strong dental reception, coordination or practice management experience
Genuinely enjoys working with patients
Is warm, calm and professional
Likes organisation, consistency and clear systems
Is dependable and follows things through
Builds positive relationships with patients and colleagues
Takes pride in keeping an appointment book running well
Is proactive without needing constant supervision
Enjoys being part of a small, supportive team
Wants a stable role where you can contribute and grow
Values ongoing learning and development and wants to grow with the practice
Experience with Dental4Web or similar dental software is highly regarded.
Dental assisting experience would be a bonus and useful for occasional crossover if required.
