Part Time Administrator

Upspec Steel Buildings is an established steel building company based in Penrith, completing residential, commercial and rural projects throughout the Sydney metropolitan area.

We are looking for a motivated, organised and confident Administration & Shed Design Coordinator to join our team on a part-time basis.

This is a varied, hands-on role combining administration, customer service, shed design and sales support. You will assist with the day-to-day running of the office, support our business owners and Project Managers, communicate with customers and learn to create preliminary shed designs and quotes using our specialised software.

Key Responsibilities

• Providing day-to-day administrative support to the business owners and Project Managers
• Handling incoming customer enquiries via phone and email and assisting customers with general questions
• Creating preliminary shed designs and assisting with quotes using specialised shed design software
• Following up customer enquiries and quotes when required
• Maintaining customer, sales and project records and ensuring information is kept accurate and up to date
• Preparing and formatting documents, reports, correspondence and project paperwork
• Booking appointments, coordinating calendars and assisting with project scheduling
• Keeping clients informed and assisting with communication throughout their projects
• Data entry, filing, invoice processing, expense tracking and general office administration
• Ordering council documents, project information and office supplies as required
• Liaising with councils, consultants, suppliers and relevant authorities
• Assisting the wider team with general administrative and organisational tasks as required

You will ideally be:

• Tech savvy – comfortable learning new software, systems and shed design programs

• Detail-oriented – accurate when working with measurements, pricing, documentation and data
• Eager to learn – willing to develop an understanding of steel buildings, construction and our processes
• A team player – happy to jump in and assist wherever needed in a busy small-business environment

Previous experience in administration, customer service, construction, estimating, quoting or sales support would be highly regarded; however, training will be provided for the right person.
