About the role:We are seeking a proactive, highly organized and discreet Executive & Personal Assistant to support a founder and CEO. You will manage a mix of executive administration, personal logistics and local tasks. This is a hands-on role for someone who enjoys solving problems, anticipating needs and ensuring important details are handled efficiently.
Responsibilities:Manage professional and personal calendars, appointments and changing priorities.Coordinate domestic and international travel.Prepare correspondence, documents, expenses and meeting materials.Track deadlines, commitments and follow-up actions.Liaise with colleagues, advisers, vendors and service providers.Coordinate household logistics, appointments, deliveries and tradespeople.Complete local errands, returns, collections and purchases.Arrange vehicle servicing, maintenance and petrol.Build simple systems for recurring tasks.Handle confidential personal and business information with discretion.Work closely with the Chief of Staff to keep priorities moving.
About youYou will ideally have:Five or more years of experience as an Executive Assistant, Personal Assistant, private PA, office manager or similar.Experience supporting a founder, CEO or senior executive.Strong calendar, travel and administrative skills.Excellent judgment, communication and attention to detail.A proactive, practical and service-oriented mindset.Confidence working independently in a fast-moving environment.Strong technology skills and comfort using modern productivity tools.A full driver’s licence and reliable transport.Current Australian work rights.Strong professional references.
Working arrangements:This is primarily an in-person role based in Glen Iris and the surrounding inner southeastern suburbs. Standard full-time hours are expected, with occasional reasonable flexibility for travel, appointments or urgent matters.
