VSON is looking for an experienced Medical Receptionist/ Patient Services Coordinator to join our Practice.
This is a hands-on administration and patient-facing role for someone who can work confidently and independently, manage competing priorities and provide an exceptional patient experience.
You'll play an important role in coordinating our patients' journeys from initial contact and assessment through to surgery and aftercare, while supporting the smooth day-to-day operation of our front office.
What You'll Be Doing:Providing an exceptional patient experience from first contact through treatment and aftercare.
Answering and Managing patient enquiries by phone, email, sms and in person.
Coordinating assessments, consultations, surgery and follow-up appointments.
Building genuine relationships with patients and helping them feel informed and confident throughout their journey.
Coordinating surgery bookings and associated administration.
Processing payments and ensuring required documentation is completed.
Managing appointment changes, cancellations, waitlists and follow-up.
Maintaining accurate patient information within our practice management and CRM systems.
Proactively managing patient follow-up and outstanding CRM tasks.
Supporting patients who require additional contact following assessment or cancellation.
Assisting with patient flow and administration on surgery and laser clinic days
Working closely with our surgeons, optometrists and clinical team.
Providing day-to-day guidance and support to less experienced administration team members.
Identifying administrative or patient journey issues and taking appropriate action or escalating where required.
Supporting consistent front-office processes and high patient service standards.
We're looking for someone who:
Has strong experience in medical reception, medical administration or specialist healthcare administration.
Is confident managing a busy front office and patient workload.
Communicates warmly, professionally and confidently with patients.
Has exceptional organisational skills and attention to detail.
Takes ownership and follows tasks through to completion.
Can work independently without requiring constant direction.
Is comfortable managing competing priorities.
Has strong computer skills and can confidently learn new systems.
Enjoys solving problems and improving the way things are done.
Can provide guidance and support to less experienced team members.
Is flexible, adaptable and willing to pitch in when needed.
Wants to continue developing professionally and take on greater responsibility over time.
Experience within ophthalmology, optometry, surgical administration or another specialist medical environment would be highly regarded.
Experience with practice management systems, CRM platforms, Medicare, private health funds and surgical bookings is essential.
We will provide comprehensive training in our:
Clinical and practice management systems.
Ophthalmology treatments and patient pathways.
CRM and patient follow-up processes.
Surgery and laser clinic processes.
VSON patient experience standards.
Location: Primarily based at VSON Fortitude Valley, with work at our Mount Gravatt location as required.
Our laser surgery lists are held in the evenings, so availability to work evening shifts when rostered is a requirement of this role. Evening shifts are shared across the team and will form part of your roster from time to time.
There is also a requirement to work occasional Saturdays to support scheduled clinics
