About the Opportunity
We are seeking a highly organised and detail-oriented Pallet Controller / Administration Officer to support our operations across pallet and hired equipment management, as well as providing administrative assistance to our Export, Import and Finance functions.
This is a varied and hands-on role suited to someone who enjoys working with data, systems, reports and multiple stakeholders. You will play an important role in ensuring the accuracy of pallet and equipment records, supporting the smooth coordination of international freight and shipping documentation, and providing general administrative support to the Finance team.
Working closely with Operations, Inventory, Logistics, Finance and external service providers, you will be responsible for maintaining accurate records, investigating discrepancies, reconciling accounts and supporting the efficient administration of key business activities.
What You’ll Do
Pallet & Hired Equipment Control
Monitor and maintain accurate pallet and hired equipment balances across the business.
Audit, reconcile and report on pallet and equipment movements on a daily, weekly and monthly basis.
Investigate and resolve discrepancies, claims, rejections and corrections with trading partners and equipment providers.
Identify and report instances of non-conformance in hired equipment processes.
Maintain accurate records and historical account information.
Develop, review and maintain procedures relating to the physical movement and control of hired equipment.
Conduct audits of procedures and records and identify opportunities for process improvement.
Liaise with internal stakeholders, transport providers, customers and external pallet and equipment suppliers.
Provide training and guidance to operational and administrative employees on pallet control procedures.
Perform daily auditing and general administrative duties associated with equipment control.
Export & Import Administration Support
Provide administrative support to the Export and Import functions.
Assist with the preparation, coordination and filing of shipping, export and import documentation.
Maintain accurate records relating to shipments, freight movements and supporting documentation.
Liaise with internal stakeholders, freight forwarders, shipping providers and other external parties as required.
Assist with tracking shipments and following up outstanding documentation or information.
Support the coordination of freight-related administration and reporting.
Maintain accurate electronic and hard-copy filing systems.
Finance Administration Support
Provide general administrative support to the Finance department.
Assist with data entry, document processing and record maintenance.
Support account reconciliations and follow up discrepancies where required.
Assist with the preparation and organisation of reports and supporting documentation.
Maintain accurate financial and administrative records.
Provide support with general departmental administration and other tasks as required.
General Administration
Work collaboratively with Operations, Inventory, Logistics, Export, Import and Finance teams.
Prepare reports and analyse data using Microsoft Excel and other business systems.
Manage multiple priorities while ensuring a high level of accuracy and attention to detail.
Identify opportunities to improve administrative processes and reporting.
Undertake other administrative and operational support duties as required.
About You
To be successful in this role, you will be highly organised, analytical and comfortable working with data and multiple systems. You will have strong attention to detail and enjoy investigating discrepancies and ensuring records are accurate and up to date.
Ideally, you will bring experience from a warehouse, logistics, supply chain, import/export or manufacturing environment, together with strong administrative skills.
Skills & Experience
Experience in pallet control, warehouse administration, logistics or supply chain operations.
Previous administrative experience supporting logistics, export, import or finance functions will be highly regarded.
Strong experience with stock management, ERP or pallet control systems.
Advanced Microsoft Excel skills, including the ability to analyse and reconcile data.
Experience with account or data reconciliation.
Excellent attention to detail and a high level of accuracy.
Strong verbal and written communication skills.
Ability to build effective relationships with internal and external stakeholders.
Ability to investigate problems, identify discrepancies and implement practical solutions.
Strong organisational skills and the ability to manage multiple tasks and deadlines.
A proactive, self-motivated approach with the ability to work independently.
A willingness to learn and develop across multiple areas of the business.

This is a permanent, on-site position based at our Clayton facility.
