About the Role

The Workforce Planner is responsible for the effective planning, coordination and optimisation of the workforce to ensure operational requirements are met across the business. The role focuses on forward workforce planning, roster management, shift coverage, workforce utilisation and operational readiness.

The Workforce Planner works closely with Operations, Recruitment, HR, Compliance and Account Management to ensure the business has the right people, with the right qualifications and availability, to meet current and future operational requirements. The role is also responsible for maintaining Live Rosters, iboss, compliance information and ensuring workforce information is accurate, current and actionable.

Working Hours

The position operates during standard business hours, Monday to Friday, 9:00am - 6:00pm.

The role is not responsible for providing overnight or weekend operational coverage. The Workforce Planner is, however, responsible for planning ahead to ensure workforce requirements outside business hours are appropriately resourced.

Key Accountabilities :

• Workforce Planning - Develop and maintain accurate forward rosters across allocated sites and accounts. Review upcoming workforce requirements and identify potential staffing gaps. Forecast workforce requirements based on operational demand, leave, vacancies, attrition and upcoming changes. Identify future workforce risks and develop strategies to address them before they impact operations.
• Roster Management - Maintain accurate and up-to-date rosters, ensuring employees are allocated to shifts appropriate to their availability, qualifications, training and licence requirements. Monitor roster coverage, proactively address vacancies and coordinate replacement coverage for planned and known absences. Ensure roster changes are accurately reflected in the Live Roster and identify discrepancies between rostering systems and operational requirements.
• Shift Coverage & Workforce Utilisation - Monitor current and upcoming vacancies and ad hoc works, coordinating coverage using the most appropriate available workforce. Prioritise available casual and relief resources where appropriate and maintain accurate records of outstanding coverage requirements. Identify under-utilised employees and casuals and opportunities to increase utilisation of the existing workforce before additional recruitment is undertaken. Monitor overtime usage and identify opportunities to reduce unnecessary overtime.
• Compliance & Workforce Readiness - Monitor workforce compliance requirements that may affect roster availability. Identify upcoming licence, training and competency expiries and ensure employees allocated to applicable shifts meet required compliance standards. Work with Compliance, KAMs and HR to resolve workforce readiness issues and consider compliance status when developing forward workforce plans.
• Stakeholder Engagement & Collaboration - Work closely with Operations on upcoming changes in workforce demand and collaborate with Recruitment, HR, Compliance and Account Management to address workforce requirements. Support Operations with roster-related queries and issues and escalate significant or high-risk vacancies to the appropriate operational manager.
• Reporting & Analysis - Use workforce data to support operational decision-making. Review overtime and casual utilisation, identify workforce capacity and demand gaps, provide data and insights to management, and support continuous improvement through workforce analytics.

• Experience in workforce planning, rostering, scheduling, operations or a similar role.
