Sales Order Management Administrator

About the role

As a Sales Order Management team member, you will be responsible for managing the flow of customer orders through the business and ensuring orders are processed accurately, efficiently and on time. You will work closely with Sales, Purchasing, Warehouse, Transport and other operational teams to identify and resolve issues before they impact the customer. This is a role for someone who doesn't wait for problems to become urgent. You will be expected to take ownership, follow things through and communicate proactively.

Key responsibilities

• Manage customer orders from confirmation through to delivery or collection.
• Monitor order status, outstanding orders, backorders and required delivery dates.
• Proactively follow up overdue or delayed orders and ensure appropriate action is taken.
• Coordinate with Sales, Purchasing, Warehouse, Transport and suppliers to resolve issues.
• Maintain accurate order information, delivery dates and customer requirements within Pronto.
• Monitor and action system alerts and exceptions within agreed timeframes.
• Maintain clear and accurate notes documenting customer communication, ETAs, delays and agreed actions.
• Ensure customers are kept informed of changes, delays and revised delivery timeframes.
• Assist with identifying potential issues before they affect the customer.
• Escalate supply, operational or customer issues when required.

About you

• Experienced in sales order management, customer service, supply chain, logistics or a similar operational environment.
• Highly organised with excellent attention to detail.
• Confident communicating with customers, suppliers and internal stakeholders.
• Proactive and comfortable taking ownership of problems.
• Strong at prioritising and managing competing deadlines.
• Naturally focused on finding solutions rather than making excuses.
• Comfortable working with ERP systems and operational data.
• A strong communicator who documents actions clearly and accurately.
• Able to work collaboratively while also being accountable for their own workload.
• Calm and professional when dealing with delays, difficult situations or changing priorities.
