About the role
About the role - Full time/ Part time
This role is central to the smooth and efficient operation of the Jeff Ecker Hand & Wrist Surgery clinic. As a Clinic Pilot / Medical Administrator, you will play a key role in coordinating patient care, supporting the surgeon, and delivering a high-quality, professional patient experience.
Key responsibilities
Provide clinical and administrative support to the surgeon during consultations, including taking patient histories, reviewing and updating medical records, preparing and generating correspondence, and assisting with investigations and surgical bookings
Edit dictated letters and reports
Coordinate and manage the surgeon's schedule using practice management software (e.g. Genie), including clinic appointments and operating theatre lists
Ensure all patient referrals, investigations, and documentation are complete and accurately recorded prior to appointments
Liaise with internal and external stakeholders (patients, referrers, imaging providers, hospitals) to ensure efficient workflow and optimal patient outcomes
Respond to incoming enquiries (phone and email) in a timely, professional manner
Perform general administrative duties including filing, scanning, and maintaining accurate patient records
Support reception and administration functions as required, including patient bookings and account processing
Assist with research activities and publications, including preparation of presentations and audio-visual materials
Maintain and follow clinic policies and procedures
About you
Experience in a medical administration or similar healthcare role (highly regarded)
Strong knowledge of medical terminology and clinical processes
Excellent organisational and time management skills with the ability to prioritise effectively
High level of attention to detail and accuracy
Strong verbal and written communication skills
Ability to problem-solve and manage competing demands in a fast-paced environment
Proficient computer skills; experience with Genie or similar practice management software is desirable
Ability to work both independently and collaboratively within a team
