Haven Home Safe (HHS) is a purpose-driven, for-purpose, community housing provider committed to ending housing insecurity and advancing housing justice across Victoria. We centre the voices and lived experience of the people we support, working alongside our clients to deliver services that are respectful, inclusive, and responsive.

We deliver homelessness intake and referral services, integrated housing and support services encompassing Social and Affordable housing, Specialist Disability Accommodation (SDA), Transitional Housing Management (THM), and property services. We have four (5) main office locations – Bendigo (registered Head Office), Preston, Epping, Mildura and Geelong.

Summary:

The On-Site Building Coordinator provides operational onsite support for the day-to-day functioning of the building. The role acts as a local point of contact for residents, contractors and staff, facilitating building operations, maintenance activities, access arrangements and resident communications under the guidance of the Assets team.

Responsibilities:

Building Operations

• Provide a consistent onsite presence and act as the first point of contact for building-related enquiries from residents, contractors and staff.
• Monitor the condition of common areas, facilities and building amenities, and report maintenance, safety or operational issues through established processes.

Contractor and Maintenance Coordination

• Facilitate building access for approved contractors, trades, consultants and service providers.
• Complete site access and induction requirements in accordance with organisational procedures.
• Act as the onsite contact for contractors undertaking approved works.

Resident Engagement and Building Services

• Respond to routine resident enquiries relating to building operations, common areas and amenities.
• Communicate relevant and appropriate information regarding maintenance works, inspections and operational activities to residents.

Safety and Compliance

• Support the implementation of emergency management, safety and building procedures.
• Identify and promptly report hazards, incidents and compliance concerns.
• Facilitate access for emergency services, auditors, inspectors and approved contractors as required.

Accountability

• Operate within established policies, procedures and delegated authority.
• Exercise judgement within defined guidelines and escalate matters outside the scope of the role

Key Selection Criteria:

Essential:

• Demonstrated experience in a building operations, facilities, property, housing, customer service, maintenance coordination or similar role.
• Ability to build and maintain positive working relationships with residents, contractors, colleagues and external stakeholders.
• Well-developed communication and interpersonal skills, including the ability to manage enquiries, resolve routine issues and communicate effectively with a diverse range of people.
• Ability to work independently, manage competing priorities and exercise judgement within established policies and procedures.

Desirable:

• Experience working in community housing, social housing, residential accommodation, property services or a related sector.
• Experience coordinating contractors, maintenance activities, building services or access arrangements.
• Knowledge of Owners Corporation environments and residential building operations.
• Certificate IV or equivalent qualification in Property Services, Building and Construction, Facilities Management, Community Services or a related field.
• Experience working within a community services, not-for-profit or housing environment.

Safety Screening Requirements

• Victorian Driver’s License.

• National Police Check.

• Working with Children Check.

Travel Requirements

This position requires occasional travel.

This role involves direct client and community-based work, including outreach and lone working in unfamiliar environments. Employees may support individuals experiencing trauma, mental health issues, family violence, or significant psychosocial stressors, and may be exposed to emotionally challenging situations and, on occasion, distressed, agitated, aggressive, or violent behaviours. The role requires emotional resilience, sound judgement, and the consistent application of trauma informed and self-care practices. The organisation actively manages psychosocial and safety risks through risk assessment and planning, supervision, workload monitoring, safety protocols, check in procedures, training, managerial support, and access to employee wellbeing supports.
