Superstar Allied Health Scheduler & Bookings Officer
About the role
We are looking for a superstar Allied Health Scheduler & Bookings Officer who is highly organised, friendly, confident and efficient, with a genuine understanding of the allied health environment.
This is a client-facing role where the person will be responsible for managing enquiries, bookings and clinician schedules while providing an exceptional experience for families, clients and referrers.
Key responsibilities
Answer incoming calls and enquiries in a warm, friendly and professional manner
Clearly explain our services, clinicians, appointment types and availability
Build rapport with families and clients and make them feel comfortable and informed
Manage new client bookings, cancellations, rescheduling and waitlists
Coordinate clinician calendars to maximise utilisation and minimise gaps
Follow up enquiries and convert suitable enquiries into bookings
Have a strong understanding of allied health services and terminology
Communicate confidently with parents, carers, referrers and clinicians
Ensure bookings are accurate and appropriate for the clinician/service
Identify opportunities to fill cancellations and appointment gaps
Maintain accurate client and booking information
Provide excellent customer service from the first phone call through to the appointment
Work efficiently in a fast-paced environment while managing competing priorities

Previous allied health experience or strong knowledge of the allied health industry
Previous booking, scheduling, reception, customer service or sales experience
Exceptional phone manner — very friendly, warm, confident and informative
Excellent communication skills
Highly organised and extremely time efficient
Ability to work quickly without sacrificing accuracy
Strong attention to detail
Comfortable having conversations that result in bookings
Proactive attitude and ability to problem-solve
Ability to confidently explain services rather than simply taking messages
Genuine interest in helping clients find the right service and clinician
The ideal person
We are looking for someone who is genuinely a people person — someone who can make a parent feel comfortable within the first 30 seconds of a phone call, while also being extremely efficient and commercially minded.

Speed of responding to enquiries
Booking accuracy
Clinician utilisation
Filling cancellations and appointment gaps
Waitlist management
Follow-up completion
Client experience and feedback
