About the Role

As Warranty Clerk, you will play a critical role in supporting the Service Department by ensuring warranty claims are processed accurately, submitted on time, and managed in accordance with manufacturer requirements.

Working closely with Service Managers, Service Advisors and Technicians, you will help maximise warranty recoveries while maintaining exceptional standards of compliance, accuracy, and administration.

This role is ideal for someone who enjoys working behind the scenes, takes pride in getting the details right, and understands the importance of strong manufacturer relationships and processes.

Key Responsibilities

• Process and submit warranty claims accurately and within manufacturer timeframes
• Review repair orders and supporting documentation to ensure warranty compliance
• Ensure all warranty repairs are supported by the required claim forms and documentation
• Monitor and manage outstanding warranty claims and follow up unpaid submissions
• Liaise with manufacturer representatives regarding claim approvals, enquiries, and escalations
• Coordinate warranty pre-authorisations to ensure repairs comply with manufacturer guidelines
• Maintain accurate warranty records and supporting documentation for audit purposes
• Manage warranty parts retention and storage requirements in accordance with manufacturer policies
• Assist Service Managers with warranty disputes, claim discrepancies, and warranty related issues
• Support Service Advisors and Technicians with warranty procedures and process improvements
• Identify and resolve claim errors to maximise warranty recovery and minimise rejections
• Perform general administrative duties including filing, data entry, and document management
• Provide professional service and support to internal and external stakeholders

About You

We are looking for a motivated and detail oriented individual who takes ownership of their work and is committed to maintaining high standards.

To be successful, you will ideally have:

• Previous experience in a Warranty Clerk, Warranty Administrator, Service Administration, or similar automotive role
• Strong understanding of dealership operations and warranty processes
• Experience working with manufacturer warranty systems and dealership management systems
• Exceptional attention to detail and accuracy
• Strong organisational and time management skills
• The ability to prioritise competing deadlines in a fast paced environment
• Excellent communication and stakeholder management skills
• A proactive, solutions focused approach
• High levels of professionalism, integrity, and accountability
