About the role
Brubecks Boutique Foods is a family-run Brisbane food manufacturer producing premium, chef-made meals, salads and other ridiculously delicious foods for independent supermarkets and retailers.
We are looking for an organised, accurate and approachable Administration Officer to join our team at our modern production facility in Murarrie.
This is a varied, hands-on administration position supporting customer orders, production planning, documentation, labelling, accounts and general office coordination. It is not purely a reception role—you will play an important part in ensuring information flows accurately between our customers, administration team, kitchen and dispatch departments.
The position reports to our Senior Administration Officer and may be structured as either full-time or part-time for the right candidate.
Key ResponsibilitiesReceive, check and process customer orders through our ordering portal.
Enter order changes, cancellations and customer information accurately.
Check minimum-order requirements, delivery schedules and ordering cut-off times.
Identify duplicate orders, unusual quantities and other potential issues before production begins.
Follow up missing, late or incorrect orders.
Export daily production files and prepare quantities to assist the kitchen with production planning.
Communicate order changes and unusual requirements to production, dispatch and administration.
Assist customers and staff with ordering portal enquiries.
Ensure order, production, invoicing and dispatch information remains accurate and consistent.
Manage incoming telephone calls, emails, visitors and customer enquiries professionally.
Coordinate internal messages, meeting bookings and shared calendars.
Help maintain a tidy, organised and welcoming front-office environment.
Maintain filing systems, staff documentation and compliance registers.
Assist with onboarding paperwork, induction packs and training records.
Update internal forms and templates while maintaining document version control.
Prepare and distribute production paperwork as required.
Print and prepare product labels according to production schedules and compliance requirements.
Work closely with production teams to ensure documentation and labels are available when needed.
Assist with inventory paperwork and supplier coordination.
Support accounts payable and receivable processes under the guidance of the Senior Administration Officer.
Enter information accurately into accounting, ordering and rostering systems.
Assist with invoice matching, expense documentation and petty cash records.
Support the Senior Administration Officer and management team as required.
Assist with scheduling, staff documentation and internal reporting.
Complete other administrative tasks needed to support our day-to-day operations.
We are looking for someone who is dependable, confident and comfortable working in a busy operational environment.
You will ideally have:
At least one to two years’ experience in administration, order processing or customer service.
Strong data-entry skills and excellent attention to detail.
Good organisational and time-management skills.
Clear and professional written and verbal communication.
Confidence using Microsoft Office and learning new systems.
Some experience with accounting, ordering or rostering software.
The ability to manage changing priorities and meet daily deadlines.
A practical, solutions-focused attitude.
The ability to work independently while contributing positively to the wider team.
Experience with product labels, compliance registers, food production documentation or manufacturing administration would be highly regarded, but is not essential.
