Automotive Operations Coordinator

About the role

This is a hands-on, fast-paced operations role at the heart of our wholesale tender operation. Working across our 32-acre tender yard, you will play a central role in preparing and moving vehicles for tender, coordinating our detailing team, managing dealer relations on inspection days, and providing the day-to-day administration that keeps the operation running — ensuring every vehicle is presented and documented to our high standards.

Key responsibilities

• Preparing and presenting vehicles for weekly tender inspections — locating and relocating stock across the 32-acre yard, applying stickers, coordinating detailing, and scheduling minor repairs

• Moving and positioning vehicles around the yard to support inspections, collections, and daily operations

• Managing the workload and timesheets of our external detailing team

• Setting up and running tender inspection days — greeting dealers, managing traffic flow, and liaising with the Tender Manager

• Overseeing the vehicle collection process following tender, including confirming payments and coordinating handovers with dealers and transport providers

• Maintaining accurate records in our fleet management system (Titan) and keeping the tender yard and shed in top condition

• Providing general administration to support the smooth running of the tender operation

• Ordering and managing stationery and vehicle consumables for the tender operation

About you

• 2–3 years' experience in automotive, wholesale, logistics, or a similar operational role

• Strong organisational skills and a keen eye for detail

• Confident communication skills, both written and verbal, with a professional presentation

• Solid computer skills and comfort with fleet or stock management systems

• A valid C Class driver's licence (manual preferred)

• Current National Police Clearance, or willingness to obtain one

• High school certificate or equivalent

• Safety boots must be worn at all times on site

• Willingness to comply with all Westside Auto Wholesale WH&S policies and procedures
