Accounts Payable Officer

We are seeking a detail-oriented and proactive Accounts Payable Officer to join our Finance team on a part-time basis (30 hours per week). This is an excellent opportunity for a finance professional who enjoys working in a fast-paced retail environment and takes pride in accuracy, problem-solving, and delivering outstanding service to internal and external stakeholders.

Reporting to the Finance Manager, you will play a critical role in ensuring the timely and accurate processing of supplier payments, bank reconciliations, and financial controls that support our stores, suppliers, and operational teams.

As our Accounts Payable Officer, you will be responsible for managing high-volume accounts payable transactions, maintaining strong supplier relationships, supporting banking and reconciliation activities, and ensuring compliance with company policies and Australian financial requirements.

Accounts Payable & Payment Processing

• Process high volumes of supplier invoices accurately and efficiently.
• Perform three-way matching of invoices, purchase orders, and delivery documentation.
• Verify pricing, quantities, freight charges, and GST accuracy.
• Allocate invoices to the correct general ledger accounts and cost centres.
• Prepare and process weekly and monthly supplier payment runs.
• Ensure supplier payments are made accurately and in accordance with agreed trading terms.
• Complete bank reconciliations accurately and within required timeframes.

Banking, Reconciliations & Controls

• Complete month-end reconciliations within prescribed deadlines.
• Prepare weekly bank audit reports and investigate banking discrepancies.
• Identify and assist in preventing fraudulent activity relating to sales payments and banking transactions.
• Maintain accurate financial records and support strong internal controls.
• Ensure compliance with company financial policies and procedures.
• Assist with internal and external audit requirements.

Supplier & Operational Support

• Liaise with local and international suppliers regarding invoices, statements, and payment queries.
• Reconcile supplier statements and resolve discrepancies promptly.
• Work closely with procurement, inventory, logistics, and warehouse teams to resolve invoice and delivery issues.
• Support retail stores with POS banking and transaction enquiries.
• Assist with landed cost calculations, including freight, duties, and customs charges.
• Support supplier rebate and consignment stock processes where applicable.

Systems, Reporting & Continuous Improvement

• Assist in resolving system and banking integration issues in conjunction with the IT team.
• Maintain accurate accounts payable records and documentation.
• Prepare finance reports including aged payables and banking audit reporting.
• Identify opportunities to improve processes, efficiency, accuracy, and financial controls.
• Provide general finance and administrative support as required.

Essential Skills & Experience

• Previous experience in an Accounts Payable, Finance Operations, or similar finance role.
• Strong understanding of bank reconciliations and financial controls.
• Experience processing high volumes of transactions while meeting deadlines.
• Sound knowledge of GST and Australian accounts payable practices.
• Excellent attention to detail and accuracy.
• Strong communication and stakeholder management skills.
• Proven problem-solving abilities and experience investigating discrepancies.
• Intermediate to advanced Microsoft Excel skills.
• Experience using accounting or finance systems.

Desirable

• Experience within a retail, furniture, or consumer goods environment.
• Experience dealing with overseas suppliers and foreign currency transactions.
• Exposure to ERP, POS, or retail accounting systems.
• Understanding of cash handling controls and banking audit processes.
• Qualifications in Accounting, Finance, Bookkeeping, or a related discipline.
