Space and Events Supervisor

About the role

The Space & Events Supervisor supports the successful delivery of events and functions held at The Royal Society of Victoria. This hands-on role is responsible for preparing function spaces, assisting with event bookings and coordination, providing food and beverage service, maintaining kitchen and event facilities and ensuring visitors receive a professional and welcoming experience. The position requires someone with flexibility and a strong work ethic to contribute 12 hours per week.

Key responsibilities

• Assist with the preparation and service delivery of educational seminars, meetings, lectures, awards events and private functions

• Respond to phone and email enquiries to manage bookings, working closely with the General Manager

• Liaise with event organisers regarding room set-up requirements and event logistics

• Prepare event spaces in accordance with function schedules and floor plans

• Monitor event requirements during functions and respond promptly to client requests

• Set up meeting and function rooms, including tables, chairs, audio-visual equipment and signage

• Pack down rooms following events and return furniture and equipment to designated storage areas

• Prepare and present refreshments for meetings and events

• Serve tea, coffee and catered food professionally and efficiently

• Maintain high standards of food safety and hygiene

About you

• Experience in hospitality, functions and/or customer service

• Excellent interpersonal and communication skills

• Strong organisational skills, attention to detail and a professional, can-do attitude

• Ability to work independently and as part of a team

• Ability to undertake manual handling associated with setting up and packing down function spaces

• Flexibility to work various shifts, including days and evenings when events require, typically Monday to Friday

• Commitment to providing excellent customer service

• Must be at least 18 years of age due to the service of alcohol
