The RoleWe have an exciting opportunity for a skilled and experienced full-time Project Coordinator to join our team based in Melbourne, with an immediate start, working Monday to Friday. Reporting to the National Operations Manager, the successful candidate will take ownership of day-to-day project logistics and delivery coordination for commercial furniture projects across 4 states, working closely alongside Project Managers to support the successful execution of national projects.
The role involves coordinating national delivery and installation activities, managing delivery schedules, installer coordination, site readiness confirmations, and installation documentation. Acting as a central point of contact between internal teams, Project Managers, and external teams, the Project Coordinator will ensure all delivery and installation activities are planned, communicated, and tracked accurately from order through to installation and close-out. The role also includes identifying operational risks, tracking quality outcomes, and contributing to continuous improvement initiatives across the delivery function.
This is a full-time position suited to an experienced coordinator who is comfortable managing multiple projects concurrently and supporting Project Managers through effective logistics coordination and process-driven execution.
As a District Project Coordinator, you will:Delivery & Logistics Coordination
Manage and maintain national delivery and installation schedules.
Confirm site readiness, access requirements, and installer availability.
Prepare delivery run sheets, installation packs, and site documentation.
Monitor project milestones and proactively manage risks impacting timelines.
Stakeholder Communication
Liaise with internal teams including sales, estimating, procurement, logistics and project delivery.
Coordinate communication with installers, subcontractors, and key stakeholders.
Attend planning and coordination meetings, providing clear status updates and escalation where required.
Quality Tracking & Process Improvement
Track post-installation quality issues and support close-out reporting.
Identify recurring coordination issues, bottlenecks, or inefficiencies.
Assist with the development and refinement of operational tools, trackers, and templates.
Contribute to continuous improvement initiatives across the delivery and logistics function.
Essential
3–5+ years’ experience in project coordination, logistics, delivery operations, estimating support, or construction-related roles.
Strong organisational and time-management skills with a high level of attention to detail.
Confident written and verbal communication skills.
Proficiency in Excel and task-tracking systems (experience with Monday.com highly regarded).
Ability to manage multiple projects, deadlines, and stakeholders concurrently.
Desirable
Experience in commercial furniture, construction, fit-out, or installation environments.
Exposure to multi-state project delivery and contractor coordination.
A process-driven mindset with an interest in operational improvement.
