About the role
Wyvern Private Hospital is seeking a motivated and detail-oriented Admissions Clerk to join our Administration Department. This role plays a vital part in supporting patient care by ensuring the smooth coordination of admissions, discharge processes, and administrative workflows.
You will work across multiple departments, providing high-quality administrative support while delivering exceptional service to patients, clinicians, and stakeholders.
Key ResponsibilitiesManage admissions-related emails, enquiries, and reception duties
Coordinate patient registration, admissions, and discharge processes
Support theatre bookings and interdepartmental coordination
Respond to patient queries and shared inbox communications
Maintain accurate records using the patient administration system (e.g. webPAS)
Complete data entry for patient admissions, transfers, and discharges
Assist patients with access to the patient portal and support requests
Liaise with consulting suites, doctors, and clinical teams
Prepare patients for day-of-admission requirements and follow up on missing information
Provide high-quality customer service to patients and families
Conduct health fund eligibility checks
Prepare Informed Financial Consent (IFC) documentation
Process payments and out-of-pocket expenses
Support quality improvement initiatives and reporting requirements
Maintain compliance with National Safety & Quality Health Service Standards
Adhere to Work Health & Safety policies and hospital procedures
Experience in hospital or healthcare administration
Strong customer service and communication skills
Advanced computer skills, including MS Office and data entry systems
High attention to detail, accuracy, and organisational skills
Ability to multitask and work effectively in a fast-paced environment
Demonstrated ability to learn new systems and processes quickly
Professional approach to handling confidential information
Ability to work both autonomously and collaboratively
Previous experience in private hospital settings
Familiarity with webPAS or similar patient management systems
Knowledge of health fund processes, Medicare, or medical terminology
Experience with risk or quality systems (e.g. LogiQC)
Valid Working With Children Check
Willingness to undergo a police check
