About the role
Grey Street Anaesthetic Group (GSAG) is a respected specialist anaesthetic practice supporting patients, surgeons, hospitals, and anaesthetists across metropolitan Melbourne. We coordinate anaesthetic services for a wide range of surgical specialties and pride ourselves on professionalism, collaboration, and exceptional patient care.
We are seeking an experienced, organised, and warm Patient Services Coordinator to join our close‑knit administration team in East Melbourne.
About the Role
This is a fast‑paced, phone‑heavy coordination role where you will keep theatre lists running smoothly, support patients with clear and compassionate communication, and work closely with surgeons’ rooms, hospitals, and specialist anaesthetists.
You will be responsible for:
· Coordinating daily theatre bookings and specialist schedules
· Liaising with surgeons’ rooms, hospitals, patients, and anaesthetists
· Managing high‑volume telephone and email enquiries with professionalism
· Updating calendars, booking systems and patient records accurately
· Responding calmly to schedule changes, competing priorities and last‑minute requests
· Supporting the smooth day‑to‑day operation of the practice
This role suits someone who enjoys juggling multiple moving parts, communicating with diverse stakeholders, and keeping complex workflows running without missing a beat.
About You
You will ideally bring:
· Experience working in specialist surgeons’ rooms or medical administration (This is strongly preferred due to the complexity of theatre bookings and stakeholder communication)
· Confidence coordinating theatre lists, specialist schedules, or complex bookings.
· Outstanding customer service skills and a warm, professional communication style.
· The ability to speak with patients calmly, clearly, and compassionately — even when things are busy.
· Excellent organisation, accuracy, and multi‑tasking capability
· Strong phone communication skills and comfort managing high‑volume calls.
· Proficiency with medical software and Microsoft Office.
