Bar and Venue Setup Supervisor

About the role

The Bar and Setup Supervisor oversees beverage ordering, inventory management, and event setup coordination. The role involves administering orders and stock records, liaising with suppliers, managing event space setup, and supervising bar operations during functions to ensure high-quality service delivery and operational efficiency.

Key responsibilities

• Assist with the preparation and placement of all beverage orders for upcoming events, ensuring orders are submitted within supplier lead times and agreed timelines

• Forecast and coordinate the ordering of primary wine stock on a monthly basis wherever practicable

• Maintain accurate records of all orders, ensuring both hard-copy and electronic documentation is filed and readily accessible

• Organise, maintain, and update client files in collaboration with the Event Coordinator, ensuring all amendments and relevant information are accurately recorded

• Conduct regular stocktakes of all beverages and business assets, maintaining accurate and up-to-date inventory records for consumables and equipment

• Ensure all bar areas are stocked with the required beverages and supplies in accordance with approved order forms and event requirements

• Be present on event days to oversee event operations, manage staff, and ensure all setup requirements are completed in accordance with client expectations and event specifications

• Coordinate and oversee the setup of all event spaces, ensuring all equipment, furniture, beverages, and other requirements are arranged in accordance with the event order and approved plans

• Coordinate the pack-down and cleaning of all bar, beverage, keg, and drink service areas following events, including the cleaning and maintenance of beer lines where required

• Monitor and replenish bar stock, consumables, and service accompaniments to ensure operational readiness at all times
