Responsibilities

• Support the Managing Director in achieving organisational and team goals, ensuring day-to-day operations run efficiently, and staff duties are completed timely.

• Plan and orchestrate work to align with the Managing Director’s priorities.

• Monitor business growth and staff performance, providing objective advice to maximise value.

• Manage human resources effectively and oversee office management for a team of 20 staff in Sydney.

• Identify and complete internal tasks with resourcefulness.

• Research and compile data for stakeholder presentations, both internal and external.

• Assist the Managing Director with daily tasks, administrative duties, and relationship management with key clients, including global equities portfolios (with relevant qualifications).

• A lead role bridging the gap between Operations (back office), Middle Office, and Dealers.

• Keeping the business operating efficiently from the dealing desk to the other business units.

• Driving implementation of consistent management reporting, tracking progress across business improvements, and process transformation to strengthen efficiency and accuracy across the business.

• High-impact role that combines operational accountability, stakeholder engagement, and strategic foresight to support Lazarus’ growth ambitions whilst keeping all operational risks within sustainable levels.

• Develop, implement, and maintain a centralised task tracking system covering all business activities (daily, weekly, monthly, quarterly).

• Monitor progress of tasks and ensure deadlines are met.

• Proactively follow up with internal stakeholders on outstanding actions.

• Provide real-time visibility of task status to management.

• Continuously improve task management processes, including transition to automated workflows (e.g. Microsoft Copilot tools).

• Track and coordinate completion of regulatory and compliance requirements.

• Ensure all compliance activities are completed within required timeframes. Follow up outstanding items and maintain compliance registers.

Skills Required

• Capital markets experience in equities brokerage, institutional equities, or ECM.

• Proficiency in developing internal processes, filing systems, and using Microsoft Office and other productivity tools, with the ability to learn new systems including Copilot AI.

• RG146 compliance (optional if not already obtained).

• Excellent communication skills, both written and verbal, with the ability to maintain confidentiality.

• Strong time-management skills and the ability to organise and coordinate multiple projects simultaneously.

• Detail-oriented, resourceful, collaborative, and adaptable, capable of managing multiple tasks efficiently.

• Flexible team player with a proactive, efficient approach and the initiative to think strategically and execute tasks.

• Willingness to work long hours as required by the industry

• This role is required to be in the office Monday - Friday 8:30am to 5pm at a minimum
