About Our ClinicOxford Clinic is a well-established psychiatry practice located in Bulimba. Our team provides thorough, compassionate, and evidence-based care to individuals and families seeking specialist mental health support. We take pride in offering a calm, respectful environment where patients feel heard and supported from their first point of contact. Our administrative team plays an essential role in ensuring the clinic runs smoothly each day, and we value professionalism, consistency, and clear communication.
The RoleWe are seeking a friendly, capable, and well-organised Specialist Receptionist to join our team. The role involves approximately two days per week, with flexibility to provide additional support when covering staff leave. This position is available for an immediate start and requires someone who can maintain steady, reliable availability throughout the year.
Key Duties and ResponsibilitiesWelcoming patients and maintaining a warm, professional front-of-house presence
Managing incoming calls and emails, recording accurate messages, and assisting with general enquiries
Handling appointment scheduling, processing payments, and submitting Medicare claims
Maintaining accurate electronic patient records within our paperless system
Preparing and distributing clinical correspondence to and from psychiatrists
Supporting clinicians and daily clinic operations
Providing calm, respectful communication to patients who may be feeling anxious or distressed
Minimum three years’ experience in medical or specialist administration (or relevant experience for students in health administration or psychology-related degrees)
Experience with medical software; Gentu preferred but not essential
Strong interpersonal and customer service skills
Excellent time management and the ability to multitask in a fast-paced environment
Confidence working independently and collaboratively within a small team
Reliable year-round availability, including during university or school holiday periods
Flexibility to work weekends and provide additional cover as required
Ability to adapt to changing clinic workflow and needs
