About the Role
We are seeking an experienced Mobilisation & Administration Team Lead to join our team in Pinjarra.
This is a hands-on leadership role for someone who thrives in a fast-paced operational environment, takes ownership and enjoys solving problems.
You will coordinate the mobilisation and site readiness of our workforce, while leading administration, travel, accommodation, logistics and office support across Pinjarra, Kalgoorlie and operational locations.
You will lead a small, geographically dispersed team while remaining actively involved in the day-to-day work.
This is also an opportunity to help shape and improve how the function operates, developing practical processes, improving systems and building a scalable support model as the business grows.
What You Will Be Doing:
Coordinate end-to-end workforce mobilisation and demobilisation.
Manage site access requirements including inductions, medicals, VOCs, licences, tickets, training and clearances.
Maintain mobilisation trackers, compliance registers, personnel records and expiry alerts.
Coordinate flights, accommodation, ground transport and last-minute travel changes.
Manage company accommodation, freight, PPE, equipment and operational logistics.
Provide hands-on administration and office support for the Pinjarra office.
Lead, allocate and monitor work across onsite and virtual administration team members.
Train, coach and develop team capability and cross-coverage.
Maintain accurate records across HR, mobilisation, scheduling, finance and operational systems.
Identify risks early and provide practical solutions and timely escalation.
Drive process improvement, standardisation and efficient use of technology.
Provide reporting and coordination support to site teams, management and key stakeholders.
We're looking for someone who is hands-on, independent and solutions-focused, with a genuine interest in improving processes, systems and administrative workflows.
What You'll Need
Essential:
Minimum 3 years’ experience as a Senior Mobilisation Coordinator or a similar role.
Certificate IV, Diploma or tertiary qualification in business administration, operations, logistics, project coordination or a related field.
Strong knowledge of mobilisation and site compliance requirements.
Current C Class Driver’s Licence
Proficiency in Microsoft Office Suite.
Desirable:
Experience in engineering, construction, mining, industrial or similar environments.
Experience managing time-critical mobilisations and changing priorities.
Strong stakeholder communication and coordination skills.
Experience leading, guiding or overseeing administration/support staff, with the confidence to allocate work, set expectations and maintain accountability.
A demonstrated ability to improve processes and systems.
Experience with mobilisation portals, HRIS, workforce scheduling or job-management systems is advantageous.
Forklift licence – desirable
