Position title: Administrative Assistant

Location: 27/49 Corporate Boulevard, Bayswater 3135

Employment status: Full-time

Reports to: Directors

The Admin Assistant will play a key role in the day-to-day running of our service operation, ensuring that every service call is handled smoothly from first contact through to invoicing. Working closely with our Directors and technicians, this role includes customer contact, scheduling, record keeping and invoice preparation. The ideal candidate will be detail-oriented, reliable, and comfortable working independently in an office environment.

Vic Wash Laundry Equipment is a family-owned business, established in 2010, dedicated to delivering high-quality repair and maintenance services for industrial, commercial and domestic laundry equipment. We service clients across Victoria and pride ourselves on our reliability, integrity, and commitment to excellence.

Key responsibilities

Managing the service inbox and office telephone, including responding to customer and supplier enquiries

Recording new service calls and dispatching work to technicians

Preparing invoices for completed work and capturing technician reports

Preparing and forwarding service documentation to commercial clients and suppliers

Logging parts used and updating inventory records

Carrying out regular checks to ensure all work is recorded, scheduled and invoiced

Organising electronic files and ensuring accurate recordkeeping

Providing general administrative support to the team as needed

Required:

Strong attention to detail and accuracy

Strong organisational, time management and collaborative skills

Proficiency with Microsoft Excel, Word and general computer literacy

Ability to manage tasks independently and prioritise workload

Good written and verbal communication skills

Desirable:

Previous experience in an administrative, scheduling or service coordination role

Experience using Xero or similar invoicing software

Eligibility

To be eligible for employment at Vic Wash Laundry Equipment, you must be an Australian Citizen or Permanent Resident.
