About the role

We are seeking a dedicated and organised Medical Receptionist to join our team at Surgical Specialist. This is a full-time position based in Norwest, NSW 2153. As a Medical Receptionist, you will be the first point of contact for our patients and a vital member of our administrative team. You will play a key role in ensuring our practice operates smoothly whilst delivering exceptional patient care and support to our surgical specialists and medical staff.

Key responsibilities

1. Greeting patients in a warm and professional manner and managing patient arrivals and departures

2. Scheduling and confirming patient appointments using practice management systems

3. Managing patient records and ensuring all documentation is accurate, complete and properly filed

4. Handling patient enquiries and directing them to the appropriate staff member

5. Processing patient payments and managing billing procedures as well as medicare and insurance claims.

6. Answering telephone calls and responding to patient communications promptly and courteously

7. Preparing treatment rooms and ensuring they are clean, organised and stocked with necessary supplies

8. Assisting with patient registration and intake procedures

9. Maintaining confidentiality and adhering to privacy legislation and practice protocols

10. Supporting the medical team with administrative tasks as required

11. Coordinating referrals and specialist communications

What we're looking for

1. High school certificate or equivalent qualification

2. Proven experience as a medical receptionist or in a similar healthcare administrative role

3. Minimum of 2+ years experience as a medical receptionist or in healthcare administration

4. Excellent communication skills, both verbal and written

5. Strong organisational and time management abilities

6. Proficiency with practice management software and Microsoft Office applications

7. Professional telephone manner and customer service skills

8. Ability to manage multiple tasks and priorities in a busy environment

9. Understanding of patient confidentiality and medical privacy legislation

10. Friendly, empathetic and patient-focused approach

11. Reliability and commitment to punctuality

12. A valid Australian driver's licence is preferred

13. Knowledge of medical terminology is a must.
