Purchasing & Import Freight Coordinator

What we are looking for :

We are seeking a part-time Purchasing and Import Freight Coordinator for 24-30 hours per week with potential to progress to full-time in the future. This role will oversee the administrative and coordination support to the Purchasing team, overseeing international freight, import documentation, shipment tracking and purchasing administration. Reporting to the Head of Purchasing, we’re looking for someone that has:

• 3 + years’ experience in purchasing, procurement, supply chain, logistics or import administration
• Experience sourcing from domestic and international suppliers
• Understanding of inventory control principles and production scheduling requirements

This role will be based onsite at our HQ in Scoresby.

What the role entails :  

• Coordinate the end-to-end administrative process for overseas LCL and FCL shipments, from supplier dispatch through to arrival.
• Coordinate, collate, check and maintain shipping, commercial and customs documentation, including commercial invoices, packing lists, bills of lading and related records.
• Track shipment schedules, ETDs, ETAs and key milestones, maintaining accurate and up-to-date shipment, delivery and purchasing information.
• Monitor shipment progress and identify and follow up delays, discrepancies, changes or potential delivery issues.
• Liaise with suppliers, freight forwarders, customs brokers and logistics partners to obtain required documentation, confirmations and updates, ensuring timely action and resolution.
• Communicate shipment updates and changes to Purchasing, Operations, Warehouse and other relevant internal stakeholders.
• Assist with identifying and resolving discrepancies between supplier documentation, purchase orders and shipment details.
• Maintain visibility of upcoming inbound shipments and provide regular updates to the Purchasing team regarding expected deliveries and arrivals.
• Provide administrative support across day-to-day purchasing activities, including purchase order administration, supplier follow-ups, data entry, reporting and maintaining purchasing systems, spreadsheets and trackers.
• Maintain accurate supplier, purchasing and shipment records, including document control and organised filing systems.
• Assist with supplier confirmations, production updates, outstanding information and maintenance of delivery dates within relevant systems.
• Support the preparation of purchasing reports and analysis as required.
• Perform other ad hoc duties as required
