The Position
We are seeking an Administrative Assistant to provide support to the VCE/Year 12 Coordinator and College Vice-Principal and Head of Senior School. The successful candidate will have the capacity to work efficiently and posses an excellent attention to detail. This role will work Monday to Friday, approximately 4 to 5 hours per day, during school term time only plus additional 2 weeks during the school holidays.
This is an ongoing, part-time role, commencing in January 2027.
Duties and Responsibilities
Provide administrative support to VCE/Year 12 Coordinator and College Vice Principal/Head of Senior School
Data entry and overseeing of all elements pertaining to VASS
Authentication and ensure completion of VCAA documentation for VCAA compliance
Manage communications with and from the VCAA, providing updates where changes are made by VCAA
Provide support to the VCE Coordinator, as necessary
Manage VET application process, student attendance, and be point of contact with external providers and follow up with students, parents, and providers
Liaise with individual VET teachers and course coordinators
Manage process for students sitting VET or VCE subjects external to/or outside of the preferred provider/s
Manage all SAC reschedules/resits
Arrange staff supervision roster for afterschool SAC reschedules/resits
Coordinate supervision for Term 3 Break practice examinations
Manage sourcing, hiring, payment and training of external supervisors, including for GAT and VCAA examinations
Coordinate all elements of VCAA examination logistics
Utilise accounts payable platform (Alii) including sourcing items, raising purchase orders, submitting invoices and budgeting.
Skills and Experience
Minimum 2 years of experience in an administrative role.
To possess outstanding communication skills, including an ability to seek and provide effective and appropriate advice and information to students, parents, staff and external bodies.
To possess outstanding organisational skills with a proven ability to work under pressure with conflicting priorities, meet strict deadlines and attention to detail.
To possess the ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
The ability to prioritise and work autonomously without direction, when required.
To possess a high level of computer skills, using Word, Excel, Outlook, Synergetic, Compass, PowerPoint
Ability to learn systems and processes and implement quickly and effectively.
The ability to work collaboratively in a team environment.
Previous experience in a similar position would be an advantage but not essential, and training is available for Synergetic/Compass software.
